    SCOPE OF POSITION: 
    This position is responsible for the development, facilitation, coordination and administrative support of activities and deliverables, as assigned. Responsible for the leading the development, facilitation, coordination, implementation and evaluation of events and other focused meetings, conferences, and appointments for assigned area(s).     ESSENTIAL JOB FUNCTIONS:

    1. Coordinate and assist in the development of schedules for projects taking into consideration deliverables, client needs, department workload, resource/capacity constraints and vendor capabilities.  
    2. Coordinate, prepare and organize activities such as workgroup meetings, workshops, business meetings, and/or seminars as directed.
    3. Maintain and coordinate multiple electronic calendars via Outlook.
    4. Maintain a comprehensive working knowledge of department / contract deliverables and a master list of all projects, activities and reports with timelines to ensure deadlines are met.
    5. Create and distribute meeting minutes as directed.
    6. Present progress and updates of all project activities to team and all appropriate project staff at designated time intervals. 
    7. Conduct staff and client interviews for facility evaluations.
    8. Coordinate and lead focus groups as directed.
    9. Set up and maintain AFMC booth at public events.
    10. Create projects in REDCap as directed.
    11. Enter, validate and merge survey data as directed.
    12. Develop and maintain multiple project schedules/timelines in WorkZone (project management software).
    13. Perform data entry for multiple projects and multiple clients into both internal and/or external program databases.
    14. As required, compose, edit and assist in creating communications and/or materials for various projects.
    15. Assist in the review, verification, testing and editing of work produced by other staff members as directed. 
    16. Assist in training new team members.
    17. Communicate effectively with all internal and external customers.  Develop partnerships with entities recognized as being integral in meeting project goals. 
    18. Communicate needs and requests to other team members as appropriate.
    19. Compose, proofread and distribute outgoing correspondence, memos, forms, reports, etc.
    20. Conduct research, as directed, and prepare reports, presentations and documents for managerial staff and team members.
    21. Develop forms and reports used to document, track and report continuing education activity information for submission to accrediting organizations and/or internal use.
    22. Facilitate, coordinate and support workgroup meetings, workshops, business meetings, and/or seminars as directed. 
    23. Research and initiate the purchase / request of departmental supplies, obtain appropriate approval, and maintain documentation of all transactions. Reconcile invoices through the Accounting/Finance department.
    24. Perform specialized functions of the assigned area as required or directed.
    25. Receive and distribute all incoming correspondence including fax, memos, reports and e-mail.
    26. Serve as back up for other team members and/or support staff.

    27.    Assist with project management:
                  a.    Use developed project management templates.
                  b.    Coordinate and manage task information and evidence gathering, project participation, measurement, and evaluation.
                  c.    Use project-tracking software for reporting purposes. 
    28.    Provide excellence in Customer Service:
                  a.    Facilitate clear communication across teams.
                  b.    Communicate effectively with all internal and external customers.  

    29. Seek and facilitate problem resolution and general assistance or referral as needed.

    30. Consult with analytic team members to gather information about service needs and features to design new procedures or improve existing processes in order to improve performance.

    31. Adhere to AFMC format, content, and style guidelines, giving consideration to usability and ensuring accuracy, consistency, and quality.

    32. Follow AFMC, state and federal protocols regarding data confidentiality/security and HIPAA compliance.

    33. Additional duties as assigned

    Job Requirements

    EDUCATION:
    Required: High School Diploma
    Desirable: Associate’s degree

    EXPERIENCE:
    Required: Five (5) years’ experience in administrative support at a professional level. 
    Desirable: Experience in project coordination/management experience, REDCaps experience.

    INTERNET REQUIREMENTS:
    Reliable, high-speed wireless internet service (Wi-Fi)
