Position Summary
The Operations Coordinator is responsible for supporting the leadership team in operational processes. He/she performs and oversees a variety of administrative & fiscal operations which require critical and independent thinking and taking initiative to organize and report significant information. Financial responsibilities include managing all check requests and travel and education funds for the department, ordering supplies and capital equipment, keeping detailed records, ensuring appropriate cost accounting, and analyzing and reporting significant variances in budgets and financial reports. Human resource responsibilities include ensuring compliance and confidentiality with personnel records based on hospital policies and regulatory standards for all associates which includes creating and maintaining a detailed master file spreadsheet of associates. He/she will become a certified CPR instructor within one year in this role and will create and maintain a scheduling system and a pool of instructors to ensure that all associates are compliant with the CPR requirements. He/she will act as the liaison with our General Council and will have responsibilities that include reviewing and facilitating new departmental contracts, maintaining logs and due dates of current contracts, and proactively coordinating the renewal, amendments, and/or termination of existing contracts with appropriate individuals or departments. Quality responsibilities include being an expert in ISO standards and/or becoming ISO certified. Other quality duties include collecting and analyzing quality and/or process improvement data, creating departmental graphs and reports for leaders, standardizing departmental forms and policies as well as maintaining chemical inventory. He/she coordinates and facilitates meetings, program functions, and/or special events, creates power point presentations, marketing panel cards, departmental newsletters, and updates our Rehab intranet site. He/she must be highly skilled in specialized record keeping and database management and be willing to assume additional responsibilities as assigned.
