GENERAL DESCRIPTION
The Potbelly Recruiting Manager will play a critical role in identifying and selecting talented individuals to fill critical roles on our field operations team. They know how to source, attract, select, and hire the best industry talent into Potbelly. They will provide support by increasing Potbelly’s bench strength through external sourcing, recruiting, and selection efforts. They will develop and implement effective recruitment strategies to help attract and retain top talent within the organization. They will play an active role in coaching Regional Directors, Regional Managers, and District Managers (DMs) in hiring new leaders and helping the shop management team plan effective local recruitment strategies to attract and retain world class team members. FOCUS
Responsibilities
- Manage sourcing, recruiting and selection activity for General Manager (GM) and Assistant Manager (AM), positions to include monitoring and adjusting sourcing advertising, sourcing applicants, reviewing applicants, interviewing and selecting applicants, scheduling and coordinating follow-up interviews, handling reference checks, and negotiating, preparing, and presenting offers.
- Coordinate successful new hires transitions and follow up to ensure a successful on boarding and training process.
- Partner with Regionals and DMs to assess staffing levels, along with actual and anticipated needs and timing. Work with the DMs to understand the market’s competitive environment and sourcing opportunities. Develop an effective recruitment strategy to achieve our Regional/District bench goals.
- Assist Regionals and DMs with staffing strategies and assistance for shops/areas with high priority staffing needs.
- Attend regional meetings, regional calls, succession planning meetings, HR/Recruiting team meetings, regional 1:1s, and 1:1s with the Sr. Manager of Field Recruiting.
- Support shop management team members and mentor them to create effective sourcing and selection strategies.
- Network and source to recruit passive and active candidates, including job fairs, recruiting events, database searches, networking with Potbelly employees, personal and professional network, and attending functions designed for networking and/or professional development.
- Form partnerships with and attract talent through outside organizations to increase breadth of reach
- Has a focus on Potbelly’s culture, modeling our values as captured in The Potbelly Way
- Partner with the Potbelly Sourcing Specialist on search priorities and sourcing needs.
- Partner with peers as needed to ensure all of Potbelly’s recruiting needs are met timely.
- Provide interview training guides, tools, and support to shop management and DMs. Update and enhance those training tools as needed.
- Handle shop management and candidate inquiries to ensure quick and courteous resolution and always representing our Potbelly Way Values.
- Conduct staffing and hiring capability-building for leaders as needed.
- Assist the Sr. Manager of Field Recruiting in developing the fiscal year budget, developing and maintaining processes and tools to support the recruitment best practices, and lead the calibration and strategic analysis to ensure all guidelines are efficient and effective.
- Explore new sourcing and recruitment vendors and stay current on recruiting trends.
- Operates within budgetary guidelines while achieving goals.
- Maintains candidate tracking to optimize use of company resources and measurements of the recruitment process.
- Ensure compliance with all governmental regulations related to the hiring process.
- Helps Troubleshoot recruiting, selection, and onboarding issues in the HR Information System (HRIS) and the Applicant Tracking System (ATS) as needed.

ESSENTIAL PHYSICAL FUNCTIONS
- Must have the ability/stamina to work a minimum of 50 to 55 hours a week.
- Will frequently manipulate and maintain data via Microsoft Excel, TalentReef ATS, and other platforms
- Must be able to communicate frequently with candidates and existing Potbelly team members through telephone, text, video calls, webinars, e-mail, instant messaging, and in-person communications.
- Ability to travel as needed to meet the needs of the business.
EXPERIENCE, EDUCATION AND BEHAVIORS
- Must represent The Potbelly Way.
- Minimum of 3 years of experience in a restaurant recruiting capacity as a recruiting manager or HR manager with recruiting duties is preferred.
- Experienced at recruiting at all levels of a restaurant organization to include hourly team members, restaurant management, and multi-unit management.
- Experienced at sourcing for new restaurant openings.
- Loves recruiting!
- A self-motivated and results-driven focus with the ability to recruit passive candidates through networking, proactive outreach, resume sourcing, and other creative sourcing.
- Must have strong sense of urgency in recruiting and moving candidates along in the process.
- Ability to communicate well with all levels of management, handle confidential information with integrity, exercise strong presentation skills, motivate others, apply strong organizational skills, ability to multi-task, has a good sense of humor, a positive attitude, and represents the Potbelly brand well.
- Must be proficient in Microsoft Office Products: Windows, Excel, Word, Outlook, Teams, and PowerPoint.
- Must be proficient at the use of an Applicant Tracking System (ATS) to manage the recruiting process and analyze results.
- Must be proficient at recruiting through various job boards and the use of their analytics.
- Must be proficient at recruiting through social media.
- Must demonstrate leadership behaviors and values that align with the Potbelly brand.
- BA or BS degree preferred.
- Certified HR professional through either HRCI (PHR or SPHR) or SHRM (SHRM-CP or SHRM SCP) preferred.
