We currently have a great opportunity for a Receptionist/Records Clerk for our San Francisco office. This position will be the first point of contact with the firm for many of our clients and visitors.
In addition, this person will be responsible for maintaining the San Francisco’s office records, which includes data entry, filing, retrieving, and sending boxes offsite. This position requires the ability to work effectively within a team structure, possess great communication skills, and have the ability to shift gears at a moment’s notice.
Essential Duties and Responsibilities
Receptionist

Managing the day-to-day administration of the reception area, including but not limited to, answering, and directing all incoming calls

Maintaining the master calendar for reserving and coordinating use of all conference rooms, client and Firm team meetings, in-house marketing events, and guest offices

Ordering food, setting up the conference room with food and beverages, setting up the conference rooms with audio-visual and/or teleconference as may be needed and re-stock the conference rooms and guest offices with office supplies
Records Clerk

Daily filing of client related documents including correspondence, client documents, attorney notes, etc.

Sending and retrieving files to and from the storage facility.

Performs routine maintenance on existing files according to established procedures and Firm's filing system.

Indexes court documents in chronological order and according to "type" (Pleading, Discovery, Attorney Notes).

Assists with the preparation and archiving of inactive client files.

Performs routine data searches, data entry and editing on department computers.

Cross-trained to provide back-up assistance for any Office Services function as the situation may require.
Qualifications

High School Diploma

Proficiency in Microsoft Office

Accuracy in grammar, spelling, and punctuation

Exceptional time management and organizational skills

Ability to lift files and file boxes of moderate weight as well as the ability to stand for extended periods of time
Compensation

Salary to be based upon experience and education; we're targeting between $45,000-$55,000 annual
