  • We’re hiring a motivated real estate administrative assistant to join our growing team. Responsibilities include administrative duties such as keeping track of all transaction documents in the client database for our real estate agents, monitoring and notifying clients of important deadlines, complying with legal procedures, and planning appointments and final walkthroughs. You’ll also support the team by marketing the company on social media and planning company events. The ideal candidate should be a great communicator who is driven and highly detail-oriented.     $40,000 - $50,000 yearly

    Responsibilities:
    • Plan travel arrangements, open houses, final walkthroughs, and other necessary engagements
    • Take part in employee development programs to strengthen existing skill sets in real estate administration
    • Respond to customer needs with urgency and attentiveness
    • Produce all marketing materials including brochures, flyers, online marketing, social media posts, etc. to continuously build our brand
    • Enforce compliance with legal and tax withholding processes

    • Manage team leader’s calendar (GApps). Keep agent apprised of the calendar, action items, messages, and relevant business issues, both internal and external
    • Create and follow a perfect daily schedule in order to accomplish all tasks
    • Answer phone calls when the team leader is unavailable
    • Make appropriate, informed decisions regarding the team leader’s available time
    • Screen incoming email correspondence. Determine the priority and respond appropriately. Make recommendations as needed regarding appropriate action and follow-up
    • High-volume email management: Use good judgment when processing emails. May process, and compose messages/replies on behalf of the team leader
    • Make travel arrangements as needed
    • Create and format documents electronically including letters, emails, marketing materials, status reports, spreadsheets (Excel), and other related documents
    • Electronically file, and track a variety of business documents. Transaction management is a must.
    • Coordinate meetings including scheduling, agenda creation, and logistics
    • Ensure smooth operation of systems for sellers, buyers, lead generation, contact database management, and back office support. Ensures that all systems and processes run efficiently, making revisions as needed
    • Keep the team leader informed regarding any problems or issues that need to be handled
    • Think ahead of how to ensure the team leader’s time is most valuably spent
    • Be proactive about improving processes. Have a strong work ethic and pride in work
    • Maintains Operation Manual that documents all systems and standards
    • Enter contacts and maintain CRM (Follow Up Boss), launch plans and activities, maintain listings and closings, referrals, create/update templates
    • Project manage all listing preparations including contractors, interior designers, graphic artists, floor plan draftsmen, photographers, and videographers
    • Pickup/deliver keys/printed materials/signage
    • Track sales and expenses. Seek to decrease expenses and improve efficiency
    • Run personal and business errands for the team
    • Be the team leader’s “right-hand person.”

    Qualifications:
    • High school diploma or equivalent required
    • Communicates well, both verbally and written
    • Prior experience in the real estate industry or as an office manager
    • Either already has or is working towards real estate license
    • Possesses a basic understanding of Microsoft Word, Excel, PowerPoint, and customer database systems

    • Understands how to utilize a database for processing client information and how to use Google Apps to create necessary documents
