K-12 Adoptions & RFP Specialist
Standard Working Hours: 8-hour workdays, with specific start and end times to be mutually agreed upon between the employee and the manager
Work Location: In-office workdays at the Clive location Tuesday-Thursday; Optional at-home workdays on Monday and Friday
Reporting Structure: Reports to the Director of RFPs, Adoptions, and Field Marketing.
Primary Responsibilities
Identify and Pursue RFP/Bid Opportunities:
- Determine product fit, win/loss potential, and develop a pipeline of RFPs through collaboration with the Director of RFPs, Director of Marketing, and Sales Team.
- Utilize search tools and sales team input to identify appropriate opportunities.
- Monitor bid tracking services to proactively receive opportunity responsibilities.
- Identify RFP/bid opportunities through relationships with sales representatives.
Lead RFP Proposal Lifecycle:
- Oversee the entire lifecycle of program-specific bid proposals, ensuring compliance with guidelines, and crafting compelling narratives.
- Coordinate with IT, Customer Service, and Sales teams for requirements gathering and manage the editing process for final submission.
Manage RFP/Bid Database:
- Utilize RFPIO software to maintain and organize the bid library, bid projects, and associated data.
- Appropriately tag RFP/bid submissions to efficient completions of like proposals.
Correlation of Development for Adoptions/RFPs:
- Manage the development of product correlations to educational standards for adoptions and RFPs/bids.
- Maintain a qualified group of contractors capable of developing product correlations.
State Adoptions and Submittal Responsibilities:
- Maintain a 3-to-5-year outlook across key product areas for participation in state adoptions.
- Evaluate adoption opportunities in collaboration with sales and marketing leadership.
- Prepare bid documentation, coordinate marketing collateral, and ensure timely submission.
- Coordinate activities related to state review of submissions, including video walkthroughs and virtual presentations.
- Coordinate and customize sales materials, samples, and presentations for large-scale adoption opportunities.
Job Description:
Successful candidate will have a proven ability to:
RFP/Bid Opportunity Identification – Partner with the sales team to identify potential upcoming RFP and adoption opportunities, assessing product fit, win/loss potential, and developing a proactive pipeline. Monitor and analyze the daily bids provided through subscription services such as RFP School Watch.
RFP Proposal Lifecycle Leadership – Lead the end-to-end process of program-specific bid proposals, from initial bid decisions to final submission. Manage and lead cross-functional teams to gather requirements for polished submissions.
State Adoption Strategist – Evaluate adoption opportunities, prepare bid documentation, and coordinate all required materials to ensure preparedness for state and open adoptions. Strategically collaborate with sales and marketing in the 5-year outlook of key product areas in state and open adoptions.
Organization of Bid Database and Sales Resources – Collaborate with multiple teams to coordinate key sales collateral and samples for best package considerations bids and open, closed, and state adoptions. Proactively oversee bid software library, projects, and related data, while developing and creating and refining bid templates and styles to present our best offerings in bids. Stay informed of evolving bid and market trends to ensure our competitive edge.
Requirements
Bachelor's degree required, with teaching certification. Master’s degree preferred.
3-5 years of teaching experience, especially at the secondary level, and English Language Arts/Humanities preferred.
1–3-year proposal/content writing experience in a fast-paced environment
Excellent verbal and written communication skills with keen attention to detail.
Strong interpersonal skills for open communication, team cooperation, and building professional relationships.
Intermediate to Advanced-level experience in Excel, Word, PowerPoint, Adobe Creative Suite
Experience editing and assembling documents
Advanced Organizational skills – must be able to handle multiple, complex projects in various stages of development and/or implementation at once.
