REPORTS TO: Supervisor
ESSENTIAL FUNCTIONS: The Purchasing Assist reports to the Contracts & Procurement Manager and acts as a liaison between the Shipping & Receiving office and the Purchasing office to resolve order discrepancies. Incumbent must be able to use independent judgement to make decisions and must be a self-starter that is able to successfully multi-task. This position requires a high level of professionalism and strict adherence to ethical standards.
GENERAL DUTIES: Primary duties will include tracking purchase orders from placement through delivery, providing status reports on open purchase requests as required, obtaining new vendor account information and assisting with entering/updating vendor records, and reviewing/finalizing/scanning open purchase orders to archive files. Working with vendors to expedite orders for supplies/services and communicating status with requesters. Keeping detailed order status notes in centralized database (Cost Point) to be accessible by buyers/accounting. Maintaining vendor performance documents (discrepancy reports/performance surveys) and finalizing, checking, and scanning open purchase orders to archive files.
OTHER DUTIES: Additional duties may be assigned to support contract/mission support requirements in job-related areas.
EDUCATION/EXPERIENCE REQUIREMENTS: Associates or Bachelor's Degree in business related field, or 3-5 years’ experience is desired. Familiarity with the Federal Acquisition Regulations (FAR) is highly desired. Personal computer skills related to purchasing and associated software, are desired; Costpoint experience is desirable. Incumbent must be familiar with commercial software applications such as Excel, Word, Access and PowerPoint, and must have excellent verbal and written communications, computer, and organizational skills. Excellent typing and data entry skills are required.
OTHER REQUIREMENTS: This position will require a SECRET security clearance. Current CAC holder is a plus. All selected candidates must undergo and successfully pass a background investigation and drug test as a condition of placement into this position. Supports E-OMS operational objectives. Observes company Quality, Safety, Environmental, Security and Administrative policies; supports Process Improvement.
WORK ENVIRONMENT: Work activities are normally performed in an environmentally controlled area.
PHYSICAL DEMANDS: This position will be subject to substantial movements (motions) of the wrists, hands, and/or fingers. Must be able to have close visual acuity to perform an activity such as: preparing and analyzing data and figures; viewing a computer terminal; and requires very limited lifting or moving of heavy objects or materials. May require sitting for long periods of time.
