The Purchasing Manager is responsible and accountable for:
The Purchasing Manager is responsible for maintaining the organization’s inventory by monitoring stock levels, identifying purchasing needs, ordering necessary items to ensure timely delivery, monitoring compliance to terms of contracts, and maintaining accurate records of all procurements. The position requires a strong analytical mindset, solid organizational skills, and the ability to build and maintain positive relationships with suppliers and coworkers.
Essential Functions
- Research and evaluate suppliers based on price, quality, selection, service, support, availability, reliability, production and distribution capabilities, and the supplier's reputation and history
- Maintain consistent inventory by proactively ordering stock up to pre-authorized limits as inventory dwindles to ensure material is available when needed
- Prepare purchase orders, solicit bid proposals, and review requisitions for goods and services
- Monitor shipments to ensure that goods arrive on time and to specifications; resolve any problems
- Confer with staff, users, and vendors to discuss defective or unacceptable goods or services and determine corrective action
- Prepare inventory reports using data from various systems; review and analyze output for anomalies, trends, or areas of concern
- Maintain accurate daily records of goods received and shipments made
- Develop and maintain good working relationships with vendors through timely and friendly communication
- Evaluate and monitor contract performance to ensure compliance with contractual obligations
- Assist with periodic physical inventory audits
- Effectively present information and respond to questions from managers, clients, and customers via phone, email, in-person, or other delivery methods
- Multitask and handle various responsibilities under stressful or fast-paced situations
Qualifications
- Bachelor’s degree in Supply Chain Management, Business, or a related field of study; equivalent work experience may be substituted for the educational requirement
- Experience with computerized inventory systems required
- Excellent interpersonal skills with proven ability to communicate both orally and in writing using proper English spelling and grammar
- Ability to learn the specifications and technical details of Litania products and business cycles
- Basic understanding of inventory control procedures
- Extremely organized and able to work with minimum supervision
- Must be proficient in Windows and Microsoft Office
- Detailed-oriented and extremely organized initiative-taker
- Must adhere to Litania’s drug free workplace policy
