Position Overview
The Office of the University Registrar reports to the Vice Provost for Enrollment Management which includes the following functional units: Office of Undergraduate Admissions, Office of Graduate Admissions, Financial Aid and Scholarships, Student Information Systems, and the Office of the University Registrar.
The Office of the University Registrar (OUR) is responsible for assuring the integrity of academic procedures, data, and records, the catalog, course scheduling, room reservations, student enrollment, tuition and fee assessment, production and maintenance of the academic record including the official academic transcript, enrollment certification, graduation, and diploma production. OUR is responsible for maintaining compliance of federal and state laws, institutional policies, NCAA, and the Veterans Administration. Additional OUR provides compliance and tracking for FERPA reporting.
The Coordinator for Office of the University Registrar Technology and Publications will produce the University Academic Calendar around guidelines established by the Kansas Board of Regents approved calendar. The publications manager will develop and execute a communication strategy of all relevant publications created and reviewed by the Office of the University Registrar (OUR) for students, faculty, administrators, and staff. The coordinator will develop, review, produce, and edit all OUR publications including the OUR website and forms that allow for efficiency and effectiveness within the office. The manager will provide support for editorial catalog updates. Coordinator will be responsible for documenting OUR processes and procedures ensuring accurate capture of all internal workflows. The coordinator will be the liaison for SIS security and access requests. The coordinator will vet and produce requests for student data.

Job Description
Technology (30%)-
Plan, schedule, and coordinate OUR creation of new online forms and workflows for OUR units.

Maintains and monitors OUR forms, workflows, ImageNow errors, and departmental authorizations for forms and queues.

Responsible for organization, content development, and revisions for OUR website.

Review and assess requests for access to various student information systems.

Maintain the required FERPA training module.
Communications (30%)-
Create University Academic Calendar and update as necessary based on KBOR calendar.

Maintains and distributes the monthly OUR Plan.

Develop and review communication strategy.
-
Create and revise all OUR communications.
-
Liaison to SIS to ensure timely delivery of communications to correct stakeholders.

Send internal OUR communications.

Collaborate with campus community to support students and faculty.

Vet and produce requests for student data from internal stakeholders and Open Records requests.
Documentation (20%)-
Responsible for creation and maintenance of clear and concise documentation for all OUR processes.

Reviews, critiques, and edits documentation written by others.

Produce how-to documentation for students, faculty, and staff for OUR processes.

Annually review OUR policies for necessary revisions.

Support editorial catalog review.
Process Improvements (10%)-
Proactively identifies process and procedure gaps and develops strategies to improve efficiencies.
Other Duties as Assigned (10%)
Required Qualifications
- Bachelor’s degree plus two (2) years relevant experience or Master’s degree.

Three (3) years’ experience in skilled clerical, administrative support work.

Effective written communication skills as indicated by application materials.

One (1) year of experience that required direct customer service.
Preferred Qualifications
- One (1) year experience with PeopleSoft software.

One (1) year experience in PeopleSoft Student Records Module.

One (1) year experience in an institution of higher education.

One (1) year experience in a Registrar's office.
-
Experience with website development.
-
Excellent organizational skills. Effective verbal communication skills.
