    The Provost is the University's chief academic officer and is responsible for the stewardship of this mission, leading the academic core of the University, serving as the principal representative of the academy to both internal and external constituencies, and leading strategic academic initiatives on behalf of the University. Working with the associate provosts, the vice president for research, the vice president for undergraduate enrollment, the deans, the University librarian, and other academic leaders, the Provost seeks to cultivate a learning community that challenges and engages students, inspires leading research and scholarship, and appreciates all intellectual inquiry as a pursuit of truth.
    The Special Assistant to the Provost provides executive-level support to the Provost and the Senior Advisor to the Provost to successfully build and maintain relationships within and outside of the university. This role serves as one of the closest partners to the Provost, supporting him in every aspect of his work. As the first point of contact for many constituencies, the Special Assistant sets a tone of professionalism and confidentiality that are crucial for the operations of the Provost's Office.
    Reporting to the Provost, the Special Assistant's duties include:
    • Drafting communications on the Provost's behalf, including PowerPoints, speeches, emails for distribution. Acts as a Provost's Office liaison with members of the University community, including faculty, staff, students, Board of Trustees, Advisory Council members, potential benefactors, and provides courteous, timely, accurate assistance in response to service needs. Manages the Provost's calendar, ensuring effective scheduling and prioritization, and helps to monitor the Provost's telephone line to ensure prompt assistance. Manages the academic university-level listservs for critical groups associated with the academy, including all faculty and academic administrative staff.
    • Provides support for the administrative operations of the Provost's Office, cross-training to ensure effective and efficient administration at the university-level and acting as a backup where needed. Supports the logistics of special events, projects, and initiatives designed to enhance the academic community, both internal and external. Provides organizational support for a number of systems and processes related to payments, requisitions, travel, scheduling, access, etc. and performs other responsibilities as assigned.
    • Oversees, plans, and executes the annual President's Dinner for Faculty.
    • Manages Academic Program Reviews along with the Senior Assistant Provost; the faculty awards process, honorary degree nomination process, faculty football honoree process, new faculty letters, Deans' Council, and Provost's Cabinet meetings and retreats.
    • Drafts minutes for meetings as needed, including for the Faculty Affairs, Research, and Scholarship Committee of the University's Board of Trustees; maintain football ticket allocation/reconciliation records, process travel reimbursements, deposits, and approvals in the online Financial Toolkit and Concur system.
    • Manages other regular and special events on behalf of the Office of the Provost, including working with search consultants for confidential Dean and Associate Provost searches, and identifying Notre Dame representatives for inaugurations at other colleges and universities.



    Minimum Qualifications:
    • Bachelors degree
    • 5 to 6 years experience
    • Must be highly organized, detailed, task oriented, and skilled in prioritizing tasks. Must have ability to work in a fast-paced office, on a variety of projects, with multiple team members. Must possess strong computer skills, and strong written and verbal communication skills. Candidates should have experience working as part of a team and the ability to identify and solve problems and inefficiencies. Ability to maintain confidentiality is imperative.
