    HCM Operations Analyst, Office of the Provost - Georgetown University

    The HCM Operations Analyst supports the recent centralization of four stakeholder groups under the Provost's Finance Office to achieve uniformity in processing, provide economies of scale, and manage redundancies and workloads. They initiate and monitor overall HCM processes, systems, and procedures across the assigned organizational unit in a "deadline" driven position, managing all HCM requirements for more than 500 staff, faculty, postdoctoral fellows, students and contingent workers; maintaining accurate and appropriate accounting of salary distributions and integrity of all personnel records; and supporting Senior Business Administrators in the smooth functioning of HCM operations across all schools and departments.

    Reporting to the Campus Director for HCM Operations, the HCM Operations Analyst has duties that include but are not limited to:

    Staff and Student HCM Processes

    Serve as the Human Resources Contact (HRC) for the assigned unit(s)/school
    Provide guidance to departments on all phases of HCM processes - for example, recruitment, screening candidates, offer letters, background/reference checks, onboarding, contract renewals, retirement and terminations
    Serve as subject matter expert and works with like positions across campus to ensure high quality service for Georgetown constituent's groups
    Handle all GMS business processes within the system - including hiring, promotion, demotion, transfer, editing job profile, termination, and costing allocation updates
    Draft all new offer (and promotion) letters; and work with departments to issue to candidates
    Work with managers to ensure the position descriptions and salary are within appropriate range prior to submitting for Human Resource Compensation Team review
    Analyze supporting documents for accuracy and completeness; and follow through to ensure transactions have been successfully completed in GMS.
    Serve as back up Timekeeper in GMS
    Conduct onboarding with new hires from start to finish - including review of position description with the manager, providing documents to committee, creation of the position in GMS, sending offer letter to selected candidate, initiating the background check, and getting new employee hired in GMS
    Work closely with the Office of Global Services on assuring work authorization documents are valid
    Work within GMS system to assure employees are in compliance with completion of electronic I-9 Employment Eligibility Verification Form with original seen in person within 3-day hire window
    Work closely with Business administrators to assure all proposed requests match available budget(s)

    Faculty HCM Processes

    Serve as a first point of contact for all GMS -HCM matters related to faculty either as a direct resource through collaboration with the Provost Office of Faculty Affairs
    Handle all GMS business processes within the system - for example, data changes and compensation changes, summer salaries, faculty leave and benefits
    In collaboration with the Provost Office of Faculty Affairs, provide guidance and customer service support to faculty members in the faculty appointment or promotion application process
    Advance knowledge and processes related to GMS keying of tenure and promotion
    Update GMS to reflect faculty appointment status

    Data Management and Reporting

    Maintain the assigned unit/school's supervisory organization structure within GMS; and initiate HCM Role Change requests and Supervisory Organization change requests to ensure accuracy and completeness
    In conjunction with the SBM and Budget Director, maintain the Position Budgets in both adaptive and GMS
    Run reports proactively in GMS to adhere to policies and to ensure that employees are paid timely
    Run exception reports and take appropriate action to resolve all issues
    Audit leave requests and leave balances on a quarterly basis
    Reconcile payroll on a monthly basis
    Audit overtime payments on a quarterly basis
    Respond to request for ad hoc data and reports as needed

    Qualifications

    Bachelor's degree typical, but not required
    At least 5 years of HCM Operations experience ( or equivalent combination of education and experience)
    Ability to communicate with managers and employees in an effective manner with constant changes in Main Campus processes
    Ability to work in both current and future deadlines simultaneously
    Forward thinking and strong analytical and organizational skills
    Commitment to ensuring compliance with all federal, state and local employment laws
