Unique opportunity for an experienced Commercial Assistant Property Manager to join a dynamic team managing a multi-building office portfolio. Candidates with office building management experience and a strong knowledge of property accounting only will be considered.
Operations
· Assist with the management of day to day relationships with property vendors and monitor performance through periodic property inspection to ensure they are meeting terms of contract and scope of work. Handle any service issues and ensure service meets quality standards.
· Assist with the management and administration of service contracts, including the participation in the competitive bid process for required property service contracts, and ensure contract file maintenance. Ensure purchase orders and contracts are accurate and fully executed prior to the start of any work.
· Coordinate with external contractors (i.e. janitorial, security, etc.) and internal departments (i.e. engineering, construction, etc.) to ensure seamless and cost-effective customer service is delivered.
· Verify tenant and vendor certificates of insurance are current and meet all requirements.
· Assist with the administration of tenant leases including all notices, contracts for additional services, invoices and any correspondence to ensure both Tenant and Landlord compliance with lease terms.
· Regularly and proactively conduct building and property inspections. Take necessary steps to ensure the property, including the back of the house and vacant spaces, are maintained “Best in Class” and are tour ready at all times.
· Work with Project Managers and Property Managers on oversight of building and Tenant construction projects. Ensure contracted projects adherence to building rules, regulations and specifications. Coordinate and schedule any required shutdown of building services (e.g. electricity, water, HVAC) to avoid delay of completion of work and disruption to current tenants.
· Promote, establish and maintain positive relations with tenants via regular, proactive communication, meetings and routine follow-up. Ensure customer needs and requests are being met to their expectations. Resolve customer service issues and requests in a timely manner and escalate as appropriate. Regularly inform Property Manager of topics discussed and action items to be addressed.
· Coordinate customer moves including scheduling, access, signage, certificates of insurance, move management, closeout, inspection and other elements. Ensure all move out and restoration requirements are enforced.
· Be familiar with all pertinent documents for assigned buildings including leases, management agreements, associations, and listing agreements.
· Review commencement letters for Property Manager or Senior Property Manager approval.
· Track commencement letters and verify they are accurate and executed. Maintain all other related correspondence supporting the lease.
· Ensure life safety programs are in place and meet all company guidelines and legal requirements for Tenant and employees of assigned building(s). Conduct Annual Floor Warden Training, Scenario Training and Fire Drills.
· Partner with Property Manager to identify and achieve additional tenant service income.
· Assist with responding to property after hour calls and emergencies.
Financial
· Assist with preparation and input of Annual Budgets, Quarterly Forecasts, and Capital Plans in accordance with Budget Guidelines.
· Review monthly general ledger and financials to assure all income and expenses reflected are valid.
· Assist with preparation of monthly financial reporting including accruals, reclasses, reforecasts, and variance reports.
· Review and verify all budgeted project expenses. Ensure all projects are completed on time and within budget.
· Review and code all invoices, verify amounts are correct per the contract. Invoices must be coded and processed in a timely fashion.
· Assist in the collection of rent and miscellaneous charges required. Review aged receivables report monthly.
· Review all customer escalation prepayment and settlement charges.
Other
· Perform duties of Tenant Service Coordinator if none is assigned or available at property location.
· Exhibit superior skills in customer service, interpersonal relations, communication, budgeting/financial reporting and operation management. Always represent the Company in a professional manner in all dealings with tenants, brokers and vendors.
· Assist with mentoring Tenant Service Coordinator.
· Perform additional duties as assigned by Supervisor.
Qualifications:
