Property Manager
Location: 2111 Southern Blvd, Bronx NY
Dolphin Property Services is a real estate property management company specializing in affordable housing properties. We are a growing NY based Property Management firm looking for a Property Manager to manage and maintain an affordable housing property in the Bronx.
Summary/Objective:
The role of the Property Manager is to interact with tenants as you handle a variety of management issues, including collections, lease administration, recertifications and complaints. You will also ensure proper and timely maintenance of the property itself via visual inspections and oversight of the maintenance staff.
Classification: Exempt (not overtime eligible)
Essential function/Responsibilities, duties include but are not limited to the following:
Site & Staff Management
- Manage all day-to-day operations throughout the property including the management of the administrative and maintenance team members
- Oversee the maintenance staff on work order management including: entering work orders into Yardi, dispatching to staff, monitoring completion, and following up to ensure resident satisfaction
- Conduct physical inspections of the property, inclusive of completing periodic maintenance trackers as required by ownership. Together with the Regional Manager and Maintenance Director, generate preventive maintenance schedule for the maintenance staff and ensure effective follow up is in place
- Track all HQS deficiencies and violations (HPD, DOB, FDNY) utilizing the Jack Jaffa portal and works with the team members and senior management to resolve by deadline
- Report any property loss or liability related incidents involving the residents or personnel to senior management immediately.
- Assist the maintenance team with conducting annual unit inspections to ensure compliance with all agency regulatory standards
Tenant Management
- Oversee the resident move-in and move-out process, inclusive of unit inspections and preparation of damage reports to be communicating to accounting department.
- Conduct tenant outreach to ensure on-time completion of all annual resident certifications (both TIC and 59s). Track status of recertifications and subsidy terminations as requested by ownership, and coordinate with legal department on non-compliance and holdovers.
- Review Aged Receivables report and conduct tenant outreach regularly for delinquent rent payments and other non-compliant lease violations. Track status as requested by ownership and coordinate with legal department on arrears and nuisance actions.
- Responsible for proper preservation of all resident and property files in both Yardi and hard-copy.
- Scan checks and money orders via Yardi and bank deposits
- Reviews all invoices for the site and approves or rejects in accordance with proper GL coding, annual budget, and confirmation of work completion
- Assists senior management and accounting staff with preparation of monthly financial variance reports
Requirements
- Minimum 5 years’ experience in the field of property management, including experience with various Affordable Housing programs (Section 8, LIHTC)
- Knowledgeable in and compliant with all local, state and federal regulations governing the property including landlord/tenant regulations.
- Previous supervisory experience (office and maintenance staff)
- Understanding of annual certification process and procedures
- Proficiency with Microsoft Office Suite, particularly Word, Excel and Outlook
- Yardi software experience a plus
- Experience working with unions is a plus
- Bilingual English and Spanish - read, write, speak – preferred
- Strong organizational, verbal and written communication skills are a must
- Must be able to work both independently and with a team
- Must be able to multitask and thrive in a fast-paced, constantly changing environment
- High School diploma OR GED; Some college, preferred
