    As a pivotal member of the Pacific Continental Network (PaCoN) Program, this position will collaborate closely with the Project Director to oversee and execute strategic initiatives aimed at ensuring the seamless functioning and growth of the research program.

    The duties and responsibilities encompass a wide array of high-level tasks aimed at fostering efficiency, inclusivity, and excellence within the program.

    Duties and Responsibilities :

    • Works under the direction of the PaCoN Project Director (PD) to develop and execute a variety of tasks that facilitate the day-to-day operations of the PaCoN Program in a wide range of matters, ensuring alignment with organizational goals and program objectives.
    • Acts as the primary liaison for all inquiries, scheduling, resources, and information related to the PaCoN Program, maintaining clear channels of communication to facilitate effective collaboration and information dissemination.
    • Oversees the documentation and reporting processes for program results and procedures, ensuring accuracy and compliance with data system and agency requirements.

    Streamlines internal communication through optimized file structures and web platforms.

    • Responsible for project logistics to ensure adherence to scope, schedule, and budgetary constraints, optimizing resources for maximum efficiency and effectiveness.
    • Develops compelling presentation materials tailored to diverse audiences, effectively communicating key insights and developments relevant to the PaCoN Project's objectives.
    • Analyzes and manages budget proposals, expenditure plans, eTravel submissions, and funding requests to ensure fiscal responsibility and sustainability.

    Tracks payments from initiation to completion for efficient financial management.

    • Manages the development, review, and tracking of subawards, contracts, and procurement activities related to program operations, ensuring compliance and efficiency in all transactions.
    • Coordinates the design and maintenance of program websites, social media accounts, and outreach materials, enhancing visibility and engagement within the research community and beyond.
    • Serve as a key liaison between various stakeholders, including academic departments, administrative units, funding agencies, and external partners, to address project needs and foster collaborative relationships.
    • Facilitates the recruitment process for graduate and undergraduate students, ensuring a diverse and qualified talent pool to support the objectives of the PaCoN Program.
    • Works outside of normal business hours including evenings and weekends as directed.

    Minimum Qualifications :

    Education and Professional Work Experience :

    Possession of a baccalaureate degree in business, project management or related field and 3 year(s) of progressively responsible professional experience with responsibilities for program management;

    or any equivalent combination of education and / or professional work experience which provides the required education, knowledge, skills and abilities as indicated.

    • Considerable working knowledge of principles, practices and techniques in the area of program management as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.
    • Considerable working knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with higher education.
    • Demonstrated ability to resolve wide ranging complex problems through the use of creative reasoning and logic to accurately determine the cause of the problems and the resolution of the problems in an effective, innovative and timely manner.
    • Demonstrated ability to interpret and present information and ideas clearly and accurately in writing, verbally and by preparation of reports and other materials.
    • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.
    • Demonstrated ability to operate a personal computer, apply word processing software, and familiarity with Microsoft Office, Adobe and Google applications.
    • If applicable, for supervisory work, demonstrated ability to lead subordinates, manage work priorities and projects, and manage employee relations.

    Supplemental Minimum Qualifications :

    Ability to travel independently to various geographical locations in a timely manner. Requirement may be fulfilled by a valid Hawai'i Driver's license (Class 3), comparable driver's license, or other means of transportation which meets position needs.

    Desirable Qualifications :

    • Master's degree in Business or related field
    • Experience in academic policies and procedures at the university level.
    • Functional knowledge of university policies and procedures.
    • Familiarity with the University of Hawaii fiscal systems, including KFS and eTravel applications
