    The Challenge Program is seeking an experienced Office Manager to join our team. The ideal candidate will be responsible for overseeing the daily operations of our office, ensuring efficiency and effectiveness in range of administrative tasks from receptionist duties and calendar management, to invoicing and processing payroll.

    The position is less than full time, but access to benefits like paid time off may be negotiated. We offer a competitive salary commensurate with experience.     About The Challenge Program

    Who we are: The Challenge Program is a non-profit construction training program with a special emphasis on youth with barriers to employment and urban revitalization.

    Since 1995, we provide select Delaware youth ages 17 – 24 with full-time, paid training to learn construction and woodworking skills on real projects. We also provide GED services, comprehensive case management and job placement services.

    In addition to being a highly successful job training program, Challenge Program is also a well-established construction company. We bid and execute construction and woodworking projects, which provide work for our trainee crews and allow us to generate revenue for our program. We have 3 crews of trainees working on site, 12 months a year.

    Essential Functions and Responsibilities

    Office and Programming Skills:

    • Front desk receptionist duties, includes assist walk-in applicants and trainees
    • Manage phone systems and correspondence (e-mail, letters, packages, etc.)
    • Responsible for keeping a clean, organized, and equipped office
    • Manage office supplies and equipment inventory
    • Post updates and maintains Challenge Program website
    • Perform essential duties to maintain program database, including data collection and data entry
    • Assists staff as needed with the tasks and reporting needed for the successful management of current contracts
    • Maintains a working knowledge of program enrollment and hiring process; assist all interested community members and applicants in accessing program information and applications
    • Upholds detailed reporting standards of program, keep well-documented records
    • Maintains organized filing system; ensures all necessary paperwork is organized in files and in compliance with individual contract requirements
    • Responsible for keeping and posting a current TCP calendar, noting important events and date, sending reminders

    Finance and Administration Skills:

    • Responsible for accurate submission of biweekly payroll
    • Responsible for basic human resources administration including onboard of new employees and trainees
    • Use Quickbooks to enter and pay bills weekly; maintain organized vendor files
    • Prepare and process invoices, manage all accounts payable and receivable, make bank deposits; collect, file and manage receipts, etc.

    Direct Service Skills:

    • Manage and implement all aspects of optional lunch program for Trainees
    • Oversee and manage trainee locker assignments
    • Assist with collection of trainee outcome documentation (ie. employment verifications)

    Supervisory Responsibilities: N/A

    Qualifications:

    Education and Experience Requirements

    • Minimum of two (2) years related experience or an equivalent combination of education & experience
    • Experience with accounting software programs, Quickbooks preferred
    • Proficient in Microsoft Office

    • Strong organizational and planning skills with proven ability to multi-task effectively and meet deadlines in a fast-paced environment
    • Ability to work independently with a high degree of reliability, accuracy, and productivity
    • Demonstrated desire to work with at-risk youth and support the organization’s mission
    • Excellent written and verbal communication skills
    • Attention to detail and problem-solving skills
    • Valid driver’s license required
