Production Scheduler develops, prepares, and maintains production schedules to guide the production activities and resources that achieve maximum efficiency and meet output and timeline objectives. Gathers data from internal teams to incorporate materials, inventories, resource availability, and delivery commitments into schedules. Being a Production Scheduler monitors daily production results and revises scheduling responsive to changes in the flow of materials, designs, equipment, or other resources. Utilizes ERP systems, planning and scheduling software, or other database tools to develop and maintain master schedules and generate reporting. Additionally, Production Scheduler typically requires a bachelor's degree. Typically reports to a manager. The Production Scheduler work is highly independent. May assume a team lead role for the work group. A specialist on complex technical and business matters. To be a Production Scheduler typically requires 7+ years of related experience.     Under the immediate supervision of the Group Practice Manager, performs a variety of duties related to patient appointment scheduling and checkout, patient intake and registration.

    Essential Functions:
    Coordinate patient checkout for all patients; work with the student and patient to view planned appointments and schedule next appointment(s) according to student and patient availability.
    Collaborate with Group Practice Coordinator to effectively process and follow up on all planned and pending appointments in the Group Practice queue, ensuring that all appointments are followed up on and booked in a timely manner.
    Update status of patient appointment upon checkout so the chair becomes available to other students.
    Cancel/reschedule patient appointments as needed with patient or working with student to cancel/reschedule.
    Confirm accuracy of patients contact and insurance information as part of checkout process; ensure that all necessary information is in the chart, including contact information, insurance information, photo ID and insurance card if applicable, and emergency contact information.
    During non-peak patient checkout times, log into ACD phone system and answer phones, register new patients, create chart in system including demographic information, and Insurance information; schedule new patient screening appointments. Insurance information is directed to the appropriate parties for verification.
    Retrieve voicemail messages and return calls during non-peak scheduling hours, forward messages to appropriate recipient.
    Greet patients and direct them to appropriate clinic areas; assist with resolution of patient concerns and customer satisfaction, refer to appropriate clinic personnel as needed.
    Retrieve daily reports from Intiveo confirmation system and notify students regarding changes to appointments.
    Maintain supply of forms needed for lab orders, test cases, record requests, or DentiCal.
    Log and process Record Request Forms.
    Maintain a clean and orderly work area to include printer/ copy areas and personal workspace, keeping area free from clutter.
    Perform all other duties as assigned by the Group Practice Manager.

    Minimum Qualifications:Knowledge of:
    Intermediate knowledge of electronic chart/ patient management system.
    Basic Microsoft Word and Excel.
    Outlook email and calendar.
    Customer service principles and phone etiquette.

    Experience:
    Minimum of two years dental or medical group practice receptionist/ scheduling experience. Education:

    High school diploma or equivalent. Working Conditions:
    Position is full-time, seven and one half (7.5) hours per day, five (5) days per week.
    Incumbent must be available to work varying shifts to include evenings until 7 pm.

    Preferred Qualifications:Knowledge of:
    Dental terminology desirable.
    Bilingual skills desirable (Spanish, Cantonese).

    Ability to
    Provide excellent customer service and communicate professionally, effectively and courteously service to all patients, students, faculty and staff.
    Maintain professional composure at all times, particularly in stressful situations.
    Apply effective patient management and time management skills.
    Follow oral and written Instructions.
    Be sensitive and attentive to patient needs.
    Maintain attention to detail while working effectively and accurately with multiple interruptions. Experience:
    Experience within a fast-paced healthcare environment highly desirable. Other:
    Experience and sensitivity in working with people of diverse backgrounds and cultures.
    Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
    Ability to engage and integrate culturally responsive practices and knowledge in their work.
