Job Summary:
We are seeking a highly organized and detail-oriented Office Manager to oversee the daily operations of our office. The Office Manager will be responsible for managing administrative tasks, coordinating schedules, and handling financial records. The ideal candidate will have excellent communication skills, strong organizational abilities, and a proven track record in office management.
Duties:
- Manage day-to-day office operations and ensure smooth workflow
- Coordinate and schedule appointments, meetings, and events
- Answer phone calls and respond to emails in a professional manner
- Maintain and update calendars for staff members
- Handle financial records, invoicing, purchase orders, receivables, payables and communicate with/send information to accountant when required
- Oversee office supplies inventory and order necessary items
- Send documents/drawings via UPS, fax, mail, and email
- Arrange repairs and maintenance for office equipment
- Compose letters based on provided information
- Set up new project folders – electronic and physical
- Maintain personnel records
- Assist with file management and document organization
- Utilize QuickBooks for financial tracking and reporting
- Perform other administrative tasks as required
Requirements:
- Proven experience as an Office Manager or in a similar role
- Excellent phone etiquette and communication skills
- Proficient in calendar management software and Microsoft Office Suite
- Familiarity with QuickBooks or other accounting software
- Strong team management and leadership abilities
- Ability to multi-task, prioritize and maintain an organized workspace in a fast-paced environment
- Ability to maintain confidentiality and handle sensitive information with discretion
- Experience with budgeting and financial management
- Attention to detail and problem-solving skills are essential
