We are seeking a meticulous and detail-oriented individual to join our team as an HOA Administrator. This role involves managing various aspects of homeowner association (HOA) operations, including building profiles, architectural reviews, violations, newsletters, and insurance.

Responsibilities:

Building HOA Profiles:

• Create and maintain HOA profiles in the property management software, ensuring accurate association information.
• Coordinate with management to initiate new associations and update financial details.
• Upload essential documents such as management agreements, covenants, and bylaws to the HOA homepage.
• Establish and maintain board of directors information and architectural review procedures.

Architectural Review:

• Handle incoming architectural review requests, ensuring all necessary documentation is provided.
• Facilitate communication between homeowners and the board of directors.
• Monitor the status of architectural reviews and promptly inform homeowners of decisions.
• Provide guidance to homeowners on resubmitting requests if necessary.

Violations Management:

• Conduct monthly inspections of HOA subdivisions to identify violations.
• Document offenses and issue appropriate warnings or fines based on the HOA's policies.
• Communicate violations to homeowners through formal letters and property management software.
• Maintain records of violations and escalate enforcement actions as needed.

HOA Newsletters:

• Collaborate with the HOA Presidents or Declarant to gather content for newsletters.
• Distribute newsletters to homeowners, ensuring widespread dissemination.

Insurance Compliance:

• Monitor tenant insurance coverage on a monthly basis.
• Compile necessary data from property management software metrics and communicate with tenants and owners regarding insurance requirements.
• Ensure compliance with insurance policies and documentation.

Qualifications:

• Prior experience in property management or HOA administration preferred.
• Proficiency in using property management software, specifically Appfolio, is advantageous.
• Strong organizational skills and attention to detail.
• Excellent written and verbal communication abilities.
• Ability to multitask and prioritize responsibilities effectively.

Meeting Participation:

• Attend all annual meetings as well as monthly HOA meetings as requested by management or the board of directors.
• Collaborate with board members to address concerns.
• Offer insights and recommendations based on administrative expertise to enhance HOA operations and decision-making processes.

Job Type: Full-time

Pay: From $15.00 per hour

Expected hours: 40 per week
