Position Overview:
We are currently seeking a dynamic and personable Front Desk Receptionist to join our team. The ideal candidate will be the first point of contact for our company, responsible for greeting guests, managing incoming calls, conducting feedback calls, and efficiently directing and resolving issues as they arise. This role plays a crucial part in ensuring a positive and professional experience for all stakeholders interacting with our business.

Responsibilities:

• Welcoming Guests: Greet visitors with a warm and friendly demeanor, ensuring they feel valued and comfortable upon arrival.
• Managing Incoming Calls: Answer and direct incoming phone calls promptly and professionally, providing information or transferring calls to the appropriate department or personnel as needed.
• Conducting Feedback Calls: Reach out to clients to gather feedback on their experiences with our products and services, documenting responses and forwarding relevant information to the appropriate departments for action.
• Issue Resolution: Act as a point of contact for addressing and resolving any concerns or issues raised by clients, visitors, or staff members, demonstrating excellent problem-solving skills and a proactive approach to conflict resolution.
• Order Following and Logistics Coordination: Ensure accurate processing and following up on customer orders, including printing labels, arranging shipments, and directing pick-up orders to the appropriate areas for fulfillment. Collaborate closely with sales, customer service, and warehouse teams to ensure seamless order fulfillment and resolve any issues or discrepancies that may arise in the order processing and shipping process. Keep detailed records of all orders processed, shipments arranged, and pick-up orders directed, maintaining accurate documentation to facilitate tracking and accountability throughout the fulfillment process.
• Maintaining Reception Area: Keep the reception area tidy and presentable at all times, ensuring it reflects the professionalism and standards of our company.
• Administrative Support: Provide general administrative support as needed, including managing mail, coordinating appointments, and assisting with various clerical tasks to support the efficient operation of the office.

Requirements:

• Excellent interpersonal and communication skills, with a polite and courteous demeanor.
• Strong organizational abilities and attention to detail.
• Ability to multitask and prioritize responsibilities effectively in a fast-paced environment.
• Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
• Previous experience in a receptionist or customer service role preferred.
• Fluency in both Spanish and English languages, both written and verbal.
• High school diploma or equivalent; additional qualifications in office administration or related field is a plus.
