Regenerative Medical Group is seeking a well experienced professional to manage day-to-day operational responsibility for our medical practice in Orange. This role will be responsible for the administrative, financial, and supervisory aspects of managing a busy medical practice. Experience in both front office and back office supervision necessary, as is experienced in Electronic Medical Records.
Responsibilities:
- Responsible for the overall day-to-day operations of the practice including patient flow and provider support while fostering an environment of continuous improvement and maintain high standards of service and support to patients, providers, and staff.
- Serves as a member of the management team; collaborates on organizational business issues, communicates appropriate messages, and supports and drives corporate initiative.
- Oversee job duties and scheduling of all the staff.
- Answer phones, schedule appointments, and check-in/check-out patients.
- Order office supplies maintain clinic supplies and med supplies.
- Interview and assist in hiring staff on as needed basis.
- Monitor Fee Slips and account for each one. Place Fee Slips in DropBox daily.
- Account for Patient Payments daily and upload that into the DropBox.
- Email the Accounts Payable accordingly to the business office.
- EOB’s from insurance companies are uploaded into the DropBox.
- Collect all checks and deposits into the online banking system. Send the receipt to the business office.
- Assist patients with copay and billing questions.
- Coordinating training for New Hires.
- Handling incident reports.
- Oversee training courses of all staff members for training purposes.
- Coordinate with staff for any additional training required.
- Creating roles and responsibilities for staff and making any updates.
- Handle any crisis which arises in the office or with the staff.
- Oversee the housekeeping staff.
- Handle any patient escalations.
- Close blinds and lock up the office accordingly.
- Troubleshoot computers and copiers/printers. Any other machine/item.
- Schedule any maintenance.
- Meet with staff each week in order to update any changes or work out any problems.
- Coordinate any changes in the schedule for the staff.
- Deposit cash in the bank.
- Maintain the Foundation spreadsheet for patient care.
- Ensures that there is always provider coverage during operating hours
- Demonstrated experience in managing patient services and nursing staff in a medical practice or community clinic.
- Works with the providers and administrative leadership to drive the development and execution of operational plans to improve quality measures and patient clinical experiences.
- Continuously identifies a way to increase profitability
- Drives improvement efforts through effective provider productivity management
- Works with the Director of Operations to establish targeted goals and growth plans
- Provide goal-oriented direction to direct reports; assist with problem-solving as needed
- Ensures all operations are carried out in an ethical, responsible manner. Monitors compliance with all clinical policies and procedures and ensures all operational services meet regulatory and quality standards
- Ensures compliance & quality assurance within all clinical programs
- Working knowledge of computerized appointment scheduling and registration system, and the ability to effectively train staff in the use of the system.
- Other responsibilities as directed by senior management

- Leadership: You will be managing other office personnel while coordinating administrative duties. For this reason, strong leadership skills will help you effectively motivate employees, deal with issues when they arise, and ensure that the office runs smoothly.
- Analytical skills: You’ll be responsible for streamlining the medical office’s processes and systems to improve efficiency and accuracy. This includes reviewing the office’s current procedures and identifying areas for improvement while recommending the best way to enhance the office’s operations. Doing this successfully will require strong analytical skills.
Qualification:
- Previous working experience as Medical Office Management and Healthcare combined for minimum 15 years of total experience.
- Minimum of 10 - 12 years experience in managerial role.
- MA in Healthcare Administration, Business or similar relevant field.
- Spanish Speaking.
- Managed a minimum of 25 - 30 people.
- Hands-on experience with accounting and administrative operations.
- In-depth knowledge of medical procedures, operations, and terminology.
- Excellent organizational and time-management skills.
- Outstanding communication, interpersonal, and leadership skills.
- Customer service orientation.
