Payroll Administrator is responsible for the accurate preparation, documentation, distribution and reconciliation of payroll and the administration of the payroll system. Reviews the computation of pay and associated deductions for accuracy. Being a Payroll Administrator maintains up-to-date knowledge of city, state, provincial, local, and federal legislation affecting payroll; understands and follows applicable provisions. Prepares required tax filings and other reporting. Additionally, Payroll Administrator may coordinate payroll processing with an outside service provider. Responds to and resolves any inquiries regarding paychecks or payroll reporting. Ensures payroll issues are escalated and resolved promptly. May require an associate degree or equivalent. Typically reports to a manager or head of a unit/department. The Payroll Administrator work is closely managed. Works on projects/matters of limited complexity in a support role.     • High School Diploma or GED
    • Associates Degree in Accounting, Business, Human Resources
    • Knowledge of School Districts Payroll System
    • Knowledge of state and federal payroll laws and regulations
    • Knowledge of word processing, database and spreadsheet software
    • Strong attention to detail
    • Good math and numerical skills
    • Strong organizational skills
    • Excellent communication abilities with aptitude in problem-solving

     

     

    Responsibilities:

    • Collecting and verifying timesheets and leave requests to complete all payrolls timely
    • Preparing and administering checks or making direct deposits through a bank payment system
    • Issue statements and invoices and maintains records
    • Update paper and electronic payroll records by entering adjustments on pay rates, employee status changes etc.
    • Answering employees' questions and concerns regarding payroll
    • Investigate and resolve any discrepancies in payroll
    • Processing and issuing W-2 forms to employees
    • Calculating payroll liabilities by determining employee taxes, including federal and state income and social security tax and calculating employer's payments for social security, unemployment and worker's compensation
    • Calculation liabilities for Educational Retirement, Retiree Health and IRS 941 monthly and quarterly reports
    • Prepare Teacherage leases and oversee the day to day accounting matters which include record keeping of all rents and utilities
    • Trains School Secretaries and Principals on timesheets and leave request
    • Performs other tasks as noted in the District's Internal Controls Handbook
    • Performs other duties as assigned
