Accounts Payable Supervisor

  • The Accounts Payable (A/P) Supervisor will be responsible for the supervision of the A/P staff and perform necessary accounting duties and tasks outlined below.

    ESSENTIAL DUTIES AND RESPONSIBILITIES (and other duties as assigned)

    • Oversees the accounts payable department activities and supervises and mentors accounts payable staff.
    • Work with other departments and managers to ensure proper invoice approvals and coding.
    • Responsible for paying vendors on time and ensuring weekly payment run processes are performed according to company policy.
    • Reconcile vendor statements.
    • Ensures vendor setup and maintenance are performed according to company policy.
    • Continuously assess and improve accounts payable processes and procedures to enhance efficiency, accuracy, and compliance with company policies.
    • Perform monthly closing processes for the accounts payable department.
    • Perform necessary journal entries, reclassifications, and accruals.
    • Maintain good public relations in all dealings while maintaining high confidentiality and working under minimum supervision. The position requires a high degree of accuracy and effective communication skills.

    SUPERVISORY RESPONSIBILITIES

    Carry out managerial responsibilities in accordance with the organization's policies and applicable laws. Supervise all employees within the department. Responsibilities include: interviewing, hiring, disciplining, coaching and training, addressing and resolving employee concerns, planning, assigning, directing work and assessing job performance.

    EDUCATION and/or EXPERIENCE

    • High School Diploma or equivalent.
    • Associate’s Degree in accounting or equivalent preferred.
    • 5 years of progressive experience in a business environment in computerized accounting (2 years in a lead or supervisory role).
    • Experience with W-9s, 1099s, and vendor tax consequences.
    • Working knowledge of Microsoft Word and Excel and desire to learn new accounting programs.
    • Experience using Oracle preferred.
    • Maintain good public relations in all dealings while maintaining a high level of confidentiality and work under minimum supervision. The position requires a high degree of accuracy and effective communication skills.
    • Operate basic office equipment such as computers, scanning equipment, 10-key calculators, printers, copiers and fax machines.

    LANGUAGE SKILLS

    Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of employees or customers.

    MATHEMATICAL SKILLS

    Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

    REASONING ABILITY

    Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
