Parts Inventory identifies, inspects, coordinates, and processes parts to be exchanged. Dispatches material and parts in accordance with production schedules and commitments. Being a Parts Inventory monitors all backorders and communicates and provides technical assistance to parts sales, customers, and branches. Updates and monitors the Parts Inventory database and places orders as needed. Additionally, Parts Inventory generates progress reports on schedule status, parts usage, and inventory and keeps records of completed orders. Requires a high school diploma. Typically reports to a supervisor. The Parts Inventory works independently within established procedures associated with the specific job function.   • SUMMARY

    Maintains adequate parts inventory while minimizing obsolescence; maintaining proper reporting and financial controls; and ensuring adherence to all practices and policies required to meet these objectives.

     

    ESSENTIAL DUTIES

    Essential Duties include the following. Other duties may be assigned.

     

    Parts Duties

    • Meets or exceeds measurable guidelines for effective performance set by the Body Shop management team and based on generally accepted industry standards, including inventory days supply, service level, true turn, stock versus emergency orders, 12-month “no sales,” lost sales, special orders, outside purchases, etc.
    • Organizes and maintains the parts department in the most efficient layout.
    • Establishes and maintains logical locations for all parts and notes location in computer by part number.
    • Establishes and maintains a system for ageing special order bins.
    • Establishes and practices measures to deter department theft.
    • Direct an annual physical inventory and maintain a perpetual inventory bin-maintenance system.
    • Employs systems to minimize obsolescence.
    • Monitors and tracks obsolescence accruals, utilizing all available obsolescence return accruals at time of return.
    • Develops, uses, and monitors emergency order placement system and schedules, and ensures proper information flow to all involved parties.
    • Ensures that emergency orders are used primarily to affect service-level goals.
    • Establishes and maintains a special-order system and ensures proper information flow regarding special orders to all involved parties.
    • Ensures proper information flow to accounting on non-system orders.
    • Develops systems for receiving, shipping, logging, tracking, and controlling all parts and related documentation daily.
    • Maintains missing document ledgers and provides to accounting at month-end.
    • Sources/verifies service and body shop work-in-process reports at month-end.
    • Investigates and resolves any inventory discrepancies by month-end.
    • Maintains professional appearance.
    • Attends department meetings as requested.

     

    Custodial Duties

    • Performs routine building maintenance in such a manner as to minimize interruption of customers or employees.
    • Sweeps technician stalls, service department and body shop floors, showroom, halls, and vending areas.
    • Washes shop truck, inside and out.
    • Empties and cleans all trash receptacles, inside and outside.
    • Removes all debris from lot.
    • Removes old scrap parts from shop after checking with parts manager.
    • Returns cores to storage area.
    • Assists technicians with oil and water spills and with emptying drain tubs.
    • Runs errands as directed by foreman.
    • Uses proper eye, hand, and body protection when using products that require protection.
    • Other duties may be assigned.

     

    QUALIFICATIONS

    EDUCATION and/or EXPERIENCE

    High School diploma or general education diploma (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.

     

    LANGUAGE SKILLS

    • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or employees of organization.
    • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

     

    MATHEMATICAL SKILLS

    • Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
    • Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.

     

    REASONING ABILITY

    • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety on instructions furnished in written, oral, diagram, or schedule form.
    • Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
