Job Purpose
We are currently seeking an Order Fulfillment Specialist to join Buffalo Games team at our Buffalo, NY headquarters. The Order Fulfillment Specialist will be responsible for processing customer orders accurately and in a timely manner. They will interact with Customers, Schedulers, Customer Service/Sales Team, and Logistics. Aiding and information such as order status, scheduling, shipment, and delivery data on orders.
· Process orders into ERP system from national retail business customers swiftly and error-free, using ERP system to ensure inventory availability.
· Determine order requirements of preparation, labeling, routing, and shipping by reviewing retailer guides and updating internal Standard Operating Procedures (SOPs) and Special Shipping Instructions checklists (SSIs). Regularly and proactively review key retailer account guides in advance of incoming orders.
· Prepare orders according to SOPs for smooth handoff to Shipping department, looking to beat and not just meet customer order deadlines.
· Monitor orders through scheduled daily expediting meetings and direct communication with internal departments to ensure timely shipment and delivery.
· Improve order-routing-shipping turnaround times through problem solving and critical thinking as applicable to retail business customers.
· Process orders from consumers and support online consumer ordering through www.buffalogames.com
· Support Consumer Quality Assurance function.
· Effective communication with external customers and internal Sales, Operations, and Finance departments.
Typical Day to Day activities include.
a) Coordinating order reviews / confirmation with Sales and/or Planning
o What can and cannot ship.
o Waiting for reply from either sales / planning.
o Edit order and execute based on feedback.
o Coordinate edits to the customers PO as needed. (Not a BG sales process)
b) Monitor the status of all the open communications with sales / planning noted in a). Push sales / planning to make decisions / respond. Push the Finance team to stay ahead of Credit holds delays and Licensing for release of orders. Monitor open edit needed from customers.
c) Updating customers web site for routing and order confirmations of each order, some line by line.
d) Update cancellations to the customer’s order per requests from other departments (line by line / order by order) in ERP systems and Customer web sites.
e) Coordination of allocations processed by shipping team at time of shipment.
f) Shipping out of orders in WERP system after allocation is completed.
g) Confirm ASNs electronically to customer once orders have shipped.
