With annual events and constant activation of the different public spaces with the Market, it is the #1 visitor destination and Eugene’s gathering place.

    This Programming and Communications Manager position is key to our success and requires a highly organized, creative, detail oriented, and motivated person to serve as lead for event planning, management, production, and sponsorship. The primary objective of the Programming and Communications Manager is to implement an annual strategic Event plan for the 5th Street Public Market that is designed to continually deliver a distinctive experience that exceeds our customers’ expectations and will ultimately contribute to driving both traffic and sales and expand brand awareness. This position will work alongside the Market Manager to identify marketing promotion ideas and implementation for events at the 5th Street Public Market.

    The Programming and Communications Manager must be able to anticipate project needs, discern work priorities, and meet deadlines. The Programming and Communications Manager should have a passion for special event management, provide outstanding communication with staff, vendors, tenants, and event attendees, be an enthusiastic professional, and be capable of building strong and positive relationships.

    DUTIES AND RESPONSIBILITIES:

    Programming and Communications Manager

    • Strategic planning, coordination and implementation of all Events from beginning to end including seasonal Events, special sales, Market Fest, Night of 1000 Stars, Haunted Market, community Events, art installations, and musical Events. Will be responsible to prepare a debrief and written assessment of each Event.
    • Communicate successfully with Market Manager, hotels, lofts, tenants, community members, and 5th Street departments such as landscape, maintenance and guest service attendants as needed.
    • Actively and consistently identify marketing and promotion opportunities, and effectively communicate those to the Market Manager.
    • Ensure the Market Manager and marketing agency has all necessary information to maintain and update website appropriately with promotions and events.
    • Identify all opportunities to promote and market events for the target customer.
    • Help develop our events from proposal right up to delivery, including:

    o Set, communicate and maintain project timelines and priorities.

    o Develop contacts to secure appropriate and good-value vendor hire.

    o Solicit and coordinate event committees (internal and external) as needed.

    o Outline, strategize, sell and coordinate event sponsorships.

    o Liaise with external suppliers including vendors, caterers, speakers, musicians, artists, etc.

    o Organize appropriate sponsorship and co-badging of appropriate events.

    o Work with Marketing and Market Manager to develop promotional materials.

    o When appropriate, implement systems with the administrator to manage invitations, sign-ups, guest lists, discounts, etc.

    o Deliver events on time, within budget, that meet expectations.

    o On-the-day management of events.

    • Troubleshoot and creatively problem solve matters that arise before, during or after Events.
    • Communicate directly with operations team and with Supervisor on as needed basis areas of concern or items that need addressing.
    • Responsible for generating sponsorships to help support Market Events.
    • Identify and manage internship opportunities. Manage intern(s) on a seasonal basis.
    • Stay within Event budget, keep Supervisor appraised of concerns/challenges.
    • Maintain and organize all files for Events and outside vendors through Hold Harmless Agreements and/or Event Agreements, notes, plans, and income.
    • Coordinate with Market Manager and Marketing Agency social media posts and stories on all platforms.
    • Communicate all Events and promotions to the appropriate channels to coordinate newsletters, event calendars, social media, etc.
    • Identify and coordinate partnership opportunities with non-profit agencies through Events, raising awareness, and community goodwill.
    • Promote Events via Community Calendars, Chamber & other local channels available at no cost.
    • Attend community Events, business events, and network as a representative of 5th Street Public Market and its’ related entities.
    • Take full ownership of Events and promotions including staging, set-up, sign installation, table tents and coordination with Market Manager and other 5th Street departments as necessary.
    • Adhere to all Oregon Health Authority Guidelines.
    • Other duties and responsibilities as assigned or deemed necessary.

    Qualifications

    • Minimum 2 years’ experience in planning and managing large events preferred
    • Minimum 2 years’ experience in social media marketing preferred
    • Must be able to communicate effectively, both written and verbal form
    • Must have flexible schedule, and be able to work weekends and nights (to coincide with events)
    • Adept problem-solving skills
    • Budget management and negotiation skills
    • Exemplary ability to prioritize, plan and manage time efficiently
    • Must maintain confidentiality of work-related information and materials
    • Fantastic customer service ethic and high expectations for quality
    • Experience with hiring and managing vendors for event production
    • The ability to multi-task, while maintaining strong organizational skills and attention to detail
    • Ability to communicate effectively with the public, partners, and all levels of staff
    • Proficiency in MS Office Suite including Word, Excel, and Outlook
    • Ability to take direction and work independently with minimal supervision, but also work successfully in a team atmosphere
    • Maintain a professional and friendly demeanor
    • Will never pose a direct threat to the health/safety of self or others

    Work Environment

    This position operates in both a professional office environment and outdoors. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets, fax machines, laminators and document binders. This position is routinely outdoors to oversee and participate in Events for the Marketplace, property tours and off sight meetings or events. The noise level is usually moderate to loud.

    Physical Requirements

    The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this position. While performing the duties of this role, the employee is regularly required to sit; use hands to handle or feel and talk or hear. The employee is frequently required to reach with hands and arms. The employee is regularly required to stand; walk and stoop, kneel, and crouch. The employee must be able to lift and/or move up to 50lbs. Employee may be outdoors in a variety of temperatures. Certain areas within the marketplace are only accessible by stairs. Specific vision abilities required by this role include close vision, distance vision, color vision, peripheral vision, depth perception and the ability to adjust focus.
