OFFICE SERVICES MANAGER oversees and manages the daily activities of office staff to ensure efficient operations, service delivery and expense control. Develops and implements procedures and policies for all administrative activities. Being an OFFICE SERVICES MANAGER typically manages record-keeping, document preparation, mail distribution, reception, bill or invoice processing, maintenance services, technical support, project coordination/scheduling, and other related internal operations. Oversees the selection of vendors and the purchase of office equipment and supplies. Additionally, OFFICE SERVICES MANAGER coordinates resources to troubleshoot, determine the best solutions, and solve problems. Tracks and analyzes operational costs and monitors budget. Recruits, trains, and coaches office staff to achieve optimal performance. May require a bachelor's degree. Typically reports to a head of a unit/department. The OFFICE SERVICES MANAGER manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be an OFFICE SERVICES MANAGER typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required. This role will allow you to work from your home office as well as visit job sites, clients, and suppliers.
     
    Responsibilities:
    • Work directly with Owner via phone, email, and occasional in-person meetings.
    • Answer office phone and respond to voicemails/emails in timely fashion.
    • Compose and submit work orders and proposals.
    • Schedule work orders for both Aspen employees and vendors.
    • Oversee work orders and submit completion photos to clients. 
    • Order and maintain stock of supplies for porter and janitorial properties. 
    • Keep track of large commercial projects, including subcontractors, costs, photos, etc. 
    • Coordinate with Estimator to ensure Xactimate documents are accurate.
    • Submit Xactimate estimates and Dropbox files to client's insurance companies as needed. 
    • Organize and maintain filing system for employees, vendors, and organization.
    • Process all AP and assist with AR as needed.
    • Collect on past due invoices.
    • Implement Preliminary Notices, Notices of Intent to Lien and Mechanic's Liens as needed via LevelSet.
    • HR functions: recruiting, initial interviews, process new-hire paperwork and payroll onboarding.
    • Process bi-weekly payroll via AmCheck.
    • Provide support to Accounting and Legal Team.
    • Renew licensure and insurances as required.
    • Assist Owner with various tasks as needed.
    • Develop standards and promote activities that enhance operational procedures.
    • Handle customer inquiries and complaints in a professional manner.

    Qualifications:
    • 2 years prior experience in a Construction-based Office Management role.
    • Familiarity with the Construction Industry a MUST. 
    • Self-starter mentality with confidence to tackle unfamiliar tasks.
    • Ability to respond swiftly and appropriately to changing demands and thrive in a multi-dimensional role.
    • Friendly and outgoing, with an excellent ability to work cooperatively with others and maintain positive attitude.
    • Confident and professional oral and written communication skills.
    • Microsoft Office, QuickBooks and T-Sheets proficiency.
    • AmCheck Payroll (or similar) proficiency.
    • Knowledge of accounting, data, and administrative management practices and procedures.
    • Familiarity with human resources management practices and procedures.
    • Highly organized, demonstrating excellent time-management techniques.
    • Self-starter, capable of working independently as well as with a team.
    • Associate's Degree or higher strongly preferred.
    • Available from 7:00am - 4:00pm, Monday - Friday. Periodic after hours work may be needed.
