OFFICE SERVICES MANAGER oversees and manages the daily activities of office staff to ensure efficient operations, service delivery and expense control. Develops and implements procedures and policies for all administrative activities. Being an OFFICE SERVICES MANAGER typically manages record-keeping, document preparation, mail distribution, reception, bill or invoice processing, maintenance services, technical support, project coordination/scheduling, and other related internal operations. Oversees the selection of vendors and the purchase of office equipment and supplies. Additionally, OFFICE SERVICES MANAGER coordinates resources to troubleshoot, determine the best solutions, and solve problems. Tracks and analyzes operational costs and monitors budget. Recruits, trains, and coaches office staff to achieve optimal performance. May require a bachelor's degree. Typically reports to a head of a unit/department. The OFFICE SERVICES MANAGER manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be an OFFICE SERVICES MANAGER typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required.     Job Responsibilities
    As an Office Manager, you will be responsible for inbound and outbound customer sales/education while organizing work and project schedules for our craftsmen. This will require that you provide customers with information and expert advice on our services, pricing, and availability. You will also provide logistical support for our craftsmen, helping them with material ordering and scheduling efficiencies.
    Your specific duties in this role will include: 
    • Respond to job leads in a timely manner 
    • Coordinating the schedule for multiple craftsmen and projects
    • Utilizing our dispatching & schedule management software
    • Returning customers calls as needed and following up with past customers
    • Performing paperwork and filing duties
    • Assist in solving operational logistics to ensure a smooth customer journey
     
    Job Requirements
    We are looking for professionals who are highly organized and detail-oriented, with a strong administrative background and multi-tasking skills. It is also important that you display excellent verbal and written communication and interpersonal skills, as well as the ability to interact effectively with both customers and our craftsmen. You will also need a strong solution-focused attitude and be quick on your feet. 
    Specific qualifications for the role include: 
    • High school diploma or GED
    • 3-5 years of administrative assistant/scheduling experience
    • Comfortable with sales
    • Adaptive to technology
    • Strong customer service skills
    • Excellent office management skills
    • Solid typing skills; ten-key skills, a plus
    • Great multitasking and prioritization skills
    • Exceptional communication skills
    • Sales and/or Marketing – a basic understanding of sales and marketing and the differences between the two, a plus 
    • QuickBooks Online or other accounting knowledge, a plus
