Develops and implements procedures and policies for all administrative activities. Being an OFFICE SERVICES MANAGER typically manages record-keeping, document preparation, mail distribution, reception, bill or invoice processing, maintenance services, technical support, project coordination/scheduling, and other related internal operations. Oversees the selection of vendors and the purchase of office equipment and supplies. Additionally, OFFICE SERVICES MANAGER coordinates resources to troubleshoot, determine the best solutions, and solve problems. Tracks and analyzes operational costs and monitors budget. Recruits, trains, and coaches office staff to achieve optimal performance. May require a bachelor's degree. Typically reports to a head of a unit/department. The OFFICE SERVICES MANAGER manages subordinate staff in the day-to-day performance of their jobs. True first level manager.     Duties:
    Responsible for all accounts receivable, accounts payable, payroll, financial statements, budgets, cash, forecasts, and file maintenance for applicant entities. Oversee of the accounts payable processes including-audit of PO process, Audit invoice entry to A/P system, processing of supplier payments, administering automatic payments, reconciliation of supplier statements, oversight of billing/accounts receivable processes including- application of customer payments, collections, process of weekly payroll entries, bank reconciliations, prepare general ledger journal entries, preparation and analysis of monthly financial statements, including reconciliation of all balance sheet accounts, administration of corporate credit card charges. assist management in budgeting process, assist management in annual company insurance proposals and analysis, forecast weekly cash requirements.
    Required:
    • Bachelor’s Degree in Accounting or related field.
    • Minimum 5 years practical accounting experience, including job cost accounting.
    • Strong knowledge of QuickBooks Enterprise.
    • Positive attitude and team player.
    • Highly organized with strong emphasis on self-motivation and analytical skills.
    • Strong interpersonal skills with ability to interact with executive level external and internal clients.
    • Exceptional communication skills, both oral and written and excellent written and verbal communication skills.
    • Ability to identify and manage priorities.
    • Ability to multitask and ability to work in team environment as well as independent.
    • Exhibits highly developed ability to follow-up on multiple projects.
    • Keen problem solving and listening skills.
    • Strong proficiency with Microsoft office suite, including MS Excel (including Vlookups, pivot tables, etc).
    • Willingness to work primarily in office environment.
    Experience in Quick books inventory function is a plus.
    Work with project managers and operations team is a plus.
    Experience with AVETTA and SAP Ariba a plus.
    Must have the ability to resolve problems/conflict in diplomatic and tactful manner.
