Office Services Assistant supports office administrative functions and processes with assistance, backup, and coordination duties. Assists with planning and coordinating office-wide processes such as facilities maintenance, space planning, moves, equipment installations, and other events or projects with internal and external stakeholders. Being an Office Services Assistant monitors inventory and places orders for office equipment, supplies, or provisions. Processes mail, invoices, employee expense reports, reimbursements, and petty cash. Additionally, Office Services Assistant tracks time reports, attendance or time cards. May act as backup for receptionist, phone coverage, or assist HR activities such as employee onboarding, interview coordination, training initiatives, and other special projects. May be responsible for performing company database or system administration tasks, including data input, reporting, user support, and upgrades. Addresses routine day-to-day problems or coordinates with stakeholders to obtain solutions. Requires a high school diploma or equivalent. Typically reports to a supervisor. The Office Services Assistant works under the close direction of senior personnel in the functional area. Possesses a moderate understanding of general aspects of the job.     General Responsibilities

    • Enhance the overall experience of students, staff, parents, and visitors in our district buildings
    • Direct day-to-day supervision of Facility Services employees within the Operations Department, primarily focusing on cleanliness, light maintenance, and event support
    • Supervise and manage department employees
    • Monitor the quality of cleaning and light maintenance work being done throughout the district
    • Coordinate with outside contractors as warranted
    • Prioritize  work that needs to be done
    • Work with the Deputy Director of Facilities and Operations, building staff, and district administrators to understand the needs and priorities of the district
    • Understand and balance the budget constraints of the department when making decisions
    • Communicate within the facilities department and across the various operations teams, including maintenance, technology, food service, and transportation.
    • Clear verbal and written communication and the ability to learn various computer and building systems
    • Capable in using e-mail, MicroSoft Word and Excel programs  with the ability to learn building control systems
    • Ability to build strong working relationships with co-workers and staff
    • Respond in a courteous and helpful manner to all members of the community, treating them as our customers
    • Address performance issues within the facilities department as needed
    • Address  personnel concerns within the department in an effective manner to maximize the customer experience
    • Problem solve
    • Communicate problems through the chain of command in an appropriate manner
    • Support the overall goals of the district and Operations Department
    • Work with vendors, including oversight of vendors while they are working, and the calling of service vendors to resolve building cleaning and maintenance and service issues
    • Schedule facility services staff to work overtime as needed.
    • Additional duties as directed by the Director of Operations

    • Scheduling the work in a manner that assures all tasks get completed


    Reports To: Director of Operations and Facilities


    Salary Range: Starting at $52,000 and commensurate with experience and qualifications


    Shift Type: Full Time (52 weeks)
