Office Manager oversees and manages the daily activities of office staff to ensure efficient operations, service delivery and expense control. Develops and implements procedures and policies for all administrative activities. Being an Office Manager typically manages record-keeping, document preparation, mail distribution, reception, bill or invoice processing, maintenance services, technical support, project coordination/scheduling, and other related internal operations. Oversees the selection of vendors and the purchase of office equipment and supplies. Additionally, Office Manager coordinates resources to troubleshoot, determine the best solutions, and solve problems. Tracks and analyzes operational costs and monitors budget. Recruits, trains, and coaches office staff to achieve optimal performance. May require a bachelor's degree. Typically reports to a head of a unit/department. The Office Manager supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/ production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions.     Main purpose of job:

    The British Government’s Embassy in Washington D.C. has an exciting opportunity to join the Head of British Defence Staff (BDSUS) Private Office as a Residence Manager. In this role you would be working in a diverse international environment to support UK diplomats, armed forces personnel and other country-based staff operating across the British Government’s network of Consulates and Government Offices in the United States. This network provides a platform for approximately 30 Government departments and agencies to conduct their work in the United States and is made up of over 900 staff with a rich and diverse background, skill sets, and experiences.

    This is a chance to directly contribute to the way in which both Governments collaborate and negotiate on Defence Engagement. As Residence Manager you will conduct day to day support to the Head of BDSUS/Defence Attaché to include, the delivery of functions and events within the residence, providing assistance to residence visitors and overnight guests, oversight of residence upkeep and maintenance, coordinating staff, visitor and contractor access and maintaining control of the residence inventory and consumable stocks. Working closely with the Private Office staff you will also interact with Embassy Corporate Services team, local contractors and BDSUS staff.

    The ideal candidate will be a team player, clear/effective communicator, who pays strong attention to detail, a background in hospitality and/or events management is highly desirable.


    Roles and responsibilities:

    • Overseeing the hosting of events and functions within the residence and providing logistical support.
    • Compiling and submitting business cases for events and functions and liaising with external providers.
    • Preparing the residence for house guests and VIP visitors and providing appropriate assistance during their stay.
    • Maintaining control of publicly funded kit and equipment held on the residence inventory.
    • Maintaining control of consumable and incidental stock levels.
    • When required obtaining authority and sourcing replacement or new items to maintain standards within the residence.
    • Oversight of the residence cleaning and maintenance staff to ensure residence standards are maintained and providing assistance when required.
    • Coordinating staff, visitor, and contractor access to the residence.
    • Supporting the delivery of functions held at the separate Dir USA residence.
    • Provide Support to other MOD/FCDO properties where capacity exists and when authorised by the DA/Hd BDSUS. (These duties would be consistent and of the same type as the primary duties for this role).

    Essential qualifications, skills and experience

    Essential on arrival:

    • Knowledge of Microsoft Office Applications including Microsoft Outlook, Word and Excel.
    • Previous history of working in hospitality and/or events management.
    • Strong interpersonal skills, including the ability to be professional, confident, courteous, and deal with interlocutors at senior level.
    • Strong independent judgement, excellent organisational skills, the ability to multi-task and strong problem-solving skills.
    • Excellent customer service skills, with proven ability to take responsibility and exercise considerable discretion.
    • Valid US driving licence and own vehicle.

    Working patterns:

    This role is 40 a week. It does not require set working hours each day although some early morning and evening work will be required.
