Job Overview
Ark Mortgage, a full-service residential mortgage lender, is looking to hire a Post-Closing/Admin Coordinator for our office located in Rockland County, NY. The ideal candidate will be an organized, detail-oriented, team player who acts with a high level of professionalism while working with both internal and external stakeholders.

Responsibilities

Post-Closing:

• Monitoring the que to ensure appropriate documents  (recorded mortgages & title policies) are received in a timely manner.
• Scan and upload documents to appropriate destination.
• Review all documents received for accuracy.
• Deliver the documents to our investors via website and submitting originals on a transmittal form through UPS.
• Work with investors, settlement agents & title companies to obtain corrections to docs when necessary.
• Cross train on shipping loans to investors and certain closing department functions.

• Create an exceptional first impression for our clients and visitors and represent the firm in a positive and professional manner. Actively promote and ensure clear communication between reception and office clientele and adhere to confidentiality policies at all appropriate times.
• Work with appropriate parties to resolve any facilities maintenance issues.
• Promptly answer all incoming calls to the switchboard, taking and delivering accurate messages via email or voicemail.
• Keep track of events, office personnel and visitors in conference center as well as the office
• Schedule meetings, book conference rooms and maintain accurate log. Manage the setups for conference rooms to ensure reservation requests are met prior to scheduled meeting.
• Maintain and coordinate details of firm meetings and events to properly direct attendees.
• Ensure office is adequately stocked with mail and office supplies.
• Perform other related administrative duties and tasks assigned.

• Resolve issues with incorrect, returned mail.
• Arrange for pickup of outgoing mail.
• Issue time/date stamps to all incoming/outgoing mail.
• Record registered mail.

• Process outgoing shipments (Fed-Ex, UPS, DHL and USPS).
• Pick up, sort, and deliver all USPS mail including time and authorization sensitive correspondence.

• Exceptional attention to detail and organization skills.
• Strong written and verbal communication skills.
• Knowledgeable in Microsoft Office (Excel, Outlook, Word and PowerPoint)
