This position will be responsible for preparing initial disclosures ensuring they are delivered accurately and on a timely basis, fully complying with all applicable regulatory requirements. This position is also responsible for shipping closed loans to the final investor meeting time critical time deadlines.

Summary:
The Mortgage Loan Assistant / Shipping Specialist is responsible for the preparation and review of initial regulatory required disclosures. This position also manages the shipping of the closed loan to the investor buying the loan, ensuring delivery is done prior to lock expiration. This position is also the liaison between Canvas Mortgage and the final purchaser/investor of our loans and is responsible for review and audit of the post-closing package, uploading the closed loan file to the investor and clearing all deficiencies related to the file prior to purchase by the investor.
Essential Duties and Responsibilities:
- Responsible for the preparation and review and delivery of initial loan disclosures within regulatory allotted timeframes;
- Maintain excellent customer relations and the confidentiality of the Bank’s customer’s information;
- Responsible for reviewing and auditing the closing package for completeness;
- Prepare loan delivery package to investor in proper order including any necessary checklists and/or required investor specific forms;
- Ensure timely delivery of assigned loans to investors to meet critical lock expiration dates;
- Monitor locked loan pipeline to know what loans have upcoming lock expiration dates and follow up with Loan Originator/Processor for status.
- Ensure delivery of welcome/goodbye correspondence;
- Clear and cure any loan document deficiencies required for investor funding;
- Responsible for resolving all post-purchase conditions such as sending in recorded security instruments and final title policies. These are time sensitive deadlines;
- Responsible for evaluating & examining transactions to ensure accuracy and completeness;
- Remain current on and adhere to all regulatory required training;
- Work with Mortgage Loan Originators, Mortgage Processors and other Operations staff to resolve problems, address deficiencies, and help fellow teammates as needed;
- Reviewing mortgage loan files for compliance with regulatory, investor, bank and agency guidelines.
- Completing all necessary forms to comply with regulatory, investor, bank and agency guidelines.
- Recording appropriate data and status into Encompass system as this is a critical function for department to know the status of the file;
- Perform all other duties as identified from time to time.
- Obeying all applicable federal laws, rules, and regulations relating to Anti-Money Laundering (AML) including the Bank Secrecy Act (BSA).
Qualifications
Education/Experience:
- Bachelor’s Degree in business field or equivalent related experience preferred;
- 2 years mortgage closing/shipping experience or equivalent preferred;
Knowledge, Skills and Abilities:
- Effective interpersonal relationships with customers, management and team members;
- Ability to self-motivate, work in a fast-paced environment, and perform tasks quickly and accurately;
- Ability to operate in a team environment to accomplish shared goals;
- Ability to work comfortably in a paperless environment;
- Ability to effectively manage time related to daily tasks. This position has important deadlines that must be met;
- Ability to solve practical problems and interpret a variety of instructions furnished in written, oral or schedule form;

- Proficient in Microsoft Office programs as well as in house loan origination systems, electronic document imaging and electronic communications.
Physical Demands:
- While performing the duties of this job, the employee is regularly required to remain in a stationary position, primarily at a desk. The work environment is typically located indoors but may have infrequent occasion to work outdoors. Some travel may be necessary to other businesses and branch locations.
- The employee is frequently required to operate a computer, printer, copy machine, calculator, telephone, and/or other office equipment.
- The employee frequently exchanges information with others and must be able to do so in an effective manner. Must have the ability to communicate clearly and effectively, both verbally and in writing, and across a variety of audiences.
- The employee may frequently move items up to 20 pounds and occasionally move items up to 50 pounds.
- The employee may frequently reach for files, books, and similar items in high or low places and must have the ability to bend, stoop, or reach.
- The typical schedule is 40 hours per week, Monday through Friday. Travel, overtime, or extended hours may be occasionally required.
- Remote work is not available for this position. This position is located in Hattiesburg, MS at the Canvas Mortgage Office.
