Merchandise Buyer Assistant, Sr. assists merchandise buyers in selecting merchandise, placing orders, and distributing inventory. Responsible for inventory replenishment with open-to-buy responsibilities over a segment of the buyer's department. Being a Merchandise Buyer Assistant, Sr. may require a bachelor's degree in area of specialty. Typically reports to a supervisor. Responsible for directly supporting the Project Managers and Service Manager by processing paperwork and maintaining files.
Responsibilities
Assists Project/Service Managers with basic project correspondence.
Assists Project/Service Managers in preparing and organizing the project file, performs filing as necessary.
Assists Project/Service Managers with permitting.
Ensures all project contracts or subcontracts have been signed as required and returned to owner or contractor.
Assists Project Managers with field staffing.
Responds to job specific manpower need requests from Project Managers, engaging HR assistance to secure appropriate candidates for interview by HR and the Project Mangers.
Coordinates drawing pickups from customers for Project/Service Managers and Estimator.
Performs purchasing for Project/Service Managers.
Performs jobsite safety inspections.
Jobsites are visited weekly and safety inspections are made. Write ups are done when required and forwarded to Project/Service Managers and Safety Director.
Coordinates all subcontractor support.
Prepares submittals, O&M manuals, warranty letters, and other job start up/closeout documents as required.
Prepares panel schedules for Service Technicians.
Updates project and department logs as required.
Prepares billing for accounting as requested by Project/Service Managers.
Maintains a favorable working relationship with all employees to promote a cooperative and harmonious working environment in order to facilitate positive employee morale, productivity, and continued improvement.
Responsible for suggesting methods to improve Company operations, processes, efficiency and service to both internal and external customers.
SECONDARY RESPONSIBILITIES
Attend all Production meetings
Attend all Sales meetings
Provides Project Management backup when Project/Service Managers are away from office on PTO.
Provide telephone back up
Provide estimating back up to estimator and Service Manager
Qualifications
QUALIFICATIONS

EDUCATION and/or EXPERIENCE
High School diploma or GED. Two or more years related experience and/or training; or equivalent combination of education and experience.
3 years experience in plumbing, heating construction or general construction.
LANGUAGE SKILLS
Ability to read, analyze, and interpret, blueprints, technical procedures, and governmental regulations. Ability to write reports, business correspondence. Ability to effectively present information and respond to questions from managers, clients, customers, and the general public. Ability to read, write, and speak basic English.
MATHEMATICAL/COMPUTER SKILLS
Ability to calculate figures and amounts such as discounts, interest, proportions, percentages, area, etc. Ability to apply concepts of basic algebra and geometry.
Ability to apply concepts such as fractions, percentages, ratios, and proportions to practical situations.
Must be proficient in basic computer skills, estimating, work processing, and spreadsheet software applications. Specific proficiency in MS Word and MS Excel required.
REASONING ABILITY
Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
Ability to define problems, collect data, establish facts, and draw valid conclusions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
Ability to prioritize multiple tasks and demands to perform with maximum efficiency.
