Membership Assistant responds to member inquiries regarding membership, educational programs, events, publications, billing, or other problems using a phone, e-mail, or chat format. Processes subscriptions, membership applications, or member data changes. Being a Membership Assistant directs members to the resources to answer questions or provide requested information. Documents inquiries and interactions using a ticketing or customer relationship management (CRM) system. Additionally, Membership Assistant may draft correspondence and promotional communications or conduct outreach calling to solicit new members or promote events. May require an associate degree or equivalent. Typically reports to a supervisor or manager. The Membership Assistant works under moderate supervision. Description
SUMMARY: Assists the Department of Institutional Advancement in the day to day activities of a development, membership and marketing/or office. Oversees and coordinates the activities of membership services.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.
Issues, prints, and mails membership cards as well as processes renewals.
Processes donations, acknowledgement letters and new membership cards.
Sorts and delivers mail.
Updates Community Calendars.
Helps maintain and update constituent contact information.
Collects and organizes weekly media clippings.
Assists in the compilation and creation of reports on membership and development activities.
Assists in the promotion of the museum and sales memberships in person, by phone and at membership tables as needed.
Maintains Habitat and Donor board to reflect up-to-date Memberships and Donations.
Maintains relationships and effectively communicates with a variety of constituent groups including donors, prospects, media and the general public.
Prepares, prints, and sorts by zip code, labels each month for both members and non-members who receive the newsletter.
Prepares lists and reports of new and renewing Habitat Club, Museum Partners, and memorial gifts for inclusion in the E-Newsletter.
Prepare and mails membership renewal requests each month. Prepares by updating information on Donor software all mailing labels for renewals.
Receives and sorts by membership, both new and renewing members. Enters these on Donor software and updates information, as needed.
Prepares and mails to members: member cards, passes and any information requested by
members.
Be available to staff membership table for sale of memberships on regular workdays, weekends, holidays, and at special events.
Maintain all membership and donor records on fundraising software.
Orders, follows up, monitors and maintains Habitat Club and Museum Partner outdoor signs
Assists in the preparation of press releases, public service announcements, media advisories, social media postings, eblasts and E-Newsletters. Typing, labeling, mailing and faxing these releases to the proper news agencies.
Assist in the preparation of direct mail solicitations for new members, annual fund drives, end-of-year and other fundraising projects as they occur.
Handle complaints or problems with memberships in a timely manner with tact and diplomacy.
Request, read, make brief notes on and file applications and information on Foundations. Keep a record of all foundations, corporations and philanthropies contacted and their response.
Prepares, obtains Executive Director's signature and mails, in a timely manner, thank you letters to Habitat Club and Museum Partner members.
Prepares for the Executive Director's signature thank you letters to donor s and Habitat Club members.
Create weekly and end-of-the-month reports on the status of memberships and any on-going solicitations.

QUALIFICATION REQUIREMENTS:

EDUCATION and/or EXPERIENCE:

LANGUAGE SKILLS:
Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
MATHEMATICAL SKILLS:
Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, percentages, area, circumference, and volume. Ability to apply concepts of basic algebra and geometry.
REASONING ABILITY:
Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
COMPUTER SKILLS:
To perform this job successfully, an individual should have knowledge of Altru Development software; Excel spreadsheet software and Word Processing software.
CERTIFICATES, LICENSES, REGISTRATIONS:
Must possess vehicle for occasional deliveries, valid Florida Driver’s License and safe driving record.
