Meeting/Event Assistant plans and organizes live or virtual meetings and events for an organization or external clients. Implements an event strategy to achieve objectives. Being a Meeting/Event Assistant researches and recommends event venues. Coordinates meeting logistics, including attendee registration, transportation, accommodations, meals, and technology. Additionally, Meeting/Event Assistant conducts rehearsals and system checks of all equipment and connectivity. Establishes relationships with vendors for event support services. Coordinates budget planning and ensures that events stay within cost projections. May assist more senior event planners in planning larger or more complex events. Typically requires a bachelor's degree or equivalent. Typically reports to a manager or head of a unit/department. The Meeting/Event Assistant work is closely managed.     Position Summary: Administrative Assistant

    Performs general office clerical support involving:

    · Customer service such as telephone, email, and visitor receptionist.

    · Relaying and receiving information to and from customers, donors, employees, community members, and partners.

    · Other general office clerical tasks.

    · Accurately completing data entry.

    Essential Functions of the Position

    · Demonstrate and uphold the Mission and Values of Newberg Animal Shelter.

    · Provide excellent customer experience with pleasant demeanor exceeding customers expectations.

    · Answer incoming calls and assist customers and community members with inquiries.

    · Make outbound calls to reply to voicemails, schedule appointments, etc.

    · Monitor and answer incoming emails.

    · Responsible for efficient and accurate front office operations. Sort and distribute mail and faxes. File and retrieve shelter documents.

    · Maintain confidentiality with employee, customer and donor information.

    · Maintain cleanliness and presentation of public spaces.

    Qualifications and Requirements

    Minimum one year experience in non-profit data management or program administration.

    Working Conditions · The work is mostly sedentary with periods of light physical activity and is performed in office surroundings.

    • Position requires employee to walk or stand for short periods, lift and carry up to 40 pounds, bend, reach, hold, grasp and turn objects, and use fingers to operate computer or keyboards.
    • The work requires the ability to speak normally and to use normal or aided vision and hearing.
    • While performing the duties of this job this position may be exposed to animal odors or airborne particles.
    • Regularly exposed to animals housed at and visiting the shelter.
    • The noise level in the work environment is usually moderate.
    • Training on basic animal behaviors and safety protocols will be given.

    Position Summary: Kennel Assistant

    • Daily interaction with cats and dogs of varying size and temperament, handling each animal in a safe, caring and respectful manner
    • Feed and exercise animals as required for their well being
    • Administer medications as instructed, reporting special needs and behavioral issues
    • Clean and sanitize dog kennels and cat rooms. Maintain cleanliness standards throughout the day by proactively monitoring kennel areas
    • Provide in-take services, following protocol requirements for strays and when working with local and county police officials and other agencies
    • Assist other staff with animal care such as bathing, grooming, and bottle feeding
    • Assist with dog-to-dog introductions to identify play groups for outdoor play
    • Collaborate and take instruction from staff. Maintain a professional and respectful manner when working and communicating with staff and volunteers
    • Provide leadership to volunteers, giving instruction on proper handling of animals, safety protocols, basic care procedures, and dog walking using Easy Walk Harness or Gentle Leaders.
    • Work alongside volunteers and oversee that work is completed satisfactorily and safely
    • Greet and interact with the general public and volunteers in a friendly, professional, and respectful manner at all times
    • Provide timely, compassionate, patient, and professional customer support via telephone, and face-to-face, including showing pets for adoption
    • Continuously improve working knowledge of animal breeds and behavior training skills
    • Wear required clothing, identification and safety garments as defined by policies and procedures
    • Adhere to all safety, training, handling, and transportation protocols in order to ensure that the shelter environment is safe for animals, the public, volunteers and staff
    • Maintain facilities including, washing dishes, laundry, sweeping, mopping, restocking and organizing supplies and storage areas.
    • Follow building security protocols. Provide building access for volunteers and be responsible to lock-up the building and set alarms when appropriate.
    • Transport animals to and from vet in the event that other staff members are otherwise unavailable to do so

    PHYSICAL REQUIREMENTS

    • Able to lift up to 50lbs
    • Frequent, bending, crawling, pushing, pulling, lifting, and standing for most of the day
    • Walking/standing on concrete or rocks for up to 8 hours
    • Will be outdoors in all weather conditions

    PREFERRED QUALIFICATIONS:

    • High school diploma or GED equivalent
    • Read, write and speak clearly in English
    • Able to remain calm and think clearly in emergency situations
    • Able to work weekends
    • Maintain a valid Oregon driver’s license, proof of insurance, and good driving history
    • Experience working with animals, strong preference for prior shelter or veterinary experience
    • Reliability and timeliness
    • Able to work cooperatively in a team environment; while also able to work independently
    • Must be able to communicate with the public, volunteers, staff and interfacing agencies in a positive, educated manner
    • Flexible availability to cover shifts as needed
