Medical Records Research Coordinator is responsible for organizing and overseeing the record keeping activities pertaining to releasing and retrieving medical records for research projects. POSITION SUMMARY: We are seeking a meticulous and proactive Records Coordinator to join our team. The Records Coordinator will be responsible for overseeing the organization's records management program (Grant funded for 1 year), including researching and implementing new systems, developing policies, and managing the scanning and digitization of documents. The ideal candidate will have excellent organizational skills, attention to detail, and a strong understanding of records management principles.
DUTIES AND RESPONSIBILITIES: Research and Implementation: - Research new records management programs and technologies to improve efficiency and compliance. - Evaluate the suitability of different systems based on organizational needs, budget, and regulatory requirements. - Coordinate with IT and relevant stakeholders to implement chosen records management solutions. Policy Development: - Develop and implement records management policies and procedures in compliance with legal and regulatory requirements and best practices. - Ensure that records management policies are communicated effectively across the organization. - Regularly review and update policies to adapt to changing needs and regulations. Records Maintenance: - Oversee the organization, maintenance, and retention of physical and electronic records. - Develop classification systems and indexing methods to ensure easy retrieval and accessibility of records. - Train staff on proper records management practices and provide ongoing support and guidance. - Document Scanning and Digitization: - Coordinate the scanning and digitization of documents to facilitate electronic storage and retrieval. - Ensure the accuracy and completeness of digitized records, and quality control. - Collaborate with relevant departments to prioritize documents for scanning based on business needs. Compliance and Audit Support: - Ensure compliance with legal and regulatory requirements related to records management, including data privacy and retention regulations. - Assist in audits and compliance reviews by providing documentation and support as needed.
REQUIRED QUALIFICATIONS: - Must be able to pass a background check. - Must adhere to tribal drug and alcohol policy. - Must have a valid Driver’s License and be insurable by the Tribe. - High School Diploma, GED or equivalent - Experience in records management, document control, or related fields. - Familiarity with records management software and electronic document management systems. - Strong understanding of records management principles, best practices, and regulatory requirements. - Excellent organizational skills and attention to detail. - Effective communication and interpersonal skills, with the ability to collaborate across departments. - Ability to work independently and manage multiple priorities in a fast-paced environment. - Strong work ethic, reliability, and a positive attitude.
DESIRABLE QUALIFICATIONS: - Experience in developing and implementing records management policies and procedures. - Familiarity with scanning and digitization technologies and processes. - Knowledge of industry-specific regulations and compliance requirements.
