Medical Records Research Coordinator is responsible for organizing and overseeing the record keeping activities pertaining to releasing and retrieving medical records for research projects. Ensures all medical records are tracked and released according to HIPAA guidelines. Being a Medical Records Research Coordinator may require an associate degree or its equivalent.     This position is for a combination Customer Service and warehouse team member. You must be willing to do both as needed. Both job descriptions are listed below.

    Customer Service Team member:

      

    Title: Customer Service Representative

    Reports To: Customer Service Manager

    Summary: This position is responsible for interacting with customers to provide information in response to inquiries about services and handling/resolving complaints.

    Essential Functions:

    · Train, explain tasks, and assist in the solution of customer problems.

    · Answer incoming phone calls, faxes, emails and respond to customer requests.

    · Identify and assess customer’s needs to achieve satisfaction.

    · Handle complaints and provide appropriate solutions and alternatives within the time limits and follow up to ensure resolution.

      Accounting experience helpful

    · Go the extra mile to engage customers.

    · Key in new box information for all accounts.

    · Data entry includes making computerized location changes, assigning customers new departments in the computer, and sending computer input to printer for printouts.

    · Responsible for taking paperwork from the “ready to be filed tray” and placing it in each customer’s folder.

    · At the end of each month, responsible for storing the previous month’s files in VRC boxes.

    · Work on special projects as required by the Customer Service Manager or Director of Operations or as needs arise.



    Warehouse Team member: 

    PURPOSE: Under direct supervision, this position is responsible for accurately performing the duties and responsibilities described herein. Additionally, this position can be tasked with operating company equipment and vehicles and while operating said equipment or vehicles the employee will use the utmost care and discretion by adhering to all Occupational Health and Safety regulations, all federal/state transportation laws and any related company policies or procedures.

    Job Summary

    Candidate must be able and willing to:

    • Barcode and process new boxes
    • Pull access list.
    • Refile Boxes/Files
    • Barcode and process boxes scheduled for destruction.
    • Perform responsibilities related to bay consolidations.
    • Demonstrate proficiency in operating a picker forklift or other company equipment.
    • Prior to signing out equipment performs operations and safety check, including battery, brakes, lift controls, and fire extinguisher.
    • Proceeds safely to assigned area to pull, load and move boxes.
    • Warehouse maintenance
    • Make pickups and deliveries.
    • Vehicle maintenance
    • Other duties as assigned.
    • At the end of each day, return equipment to the correct charging station, and prepares equipment for daily (overnight) charge.

    Requirements

      

    Customer Service Team member Qualifications:

    · Ability to work on a team including with the Customer Service Manager and Director of Operations to ensure proper customer service is being delivered.

    · Must have some computer knowledge.

    · Must be able to work with internal office personnel, sales & development representatives, records center personnel, and management.

    · Ability to work with external customers, potential customers, vendors, and suppliers.

    · Able to retain knowledge of services lines, prices, and delivery times.

    · Ability to multi-task, prioritize and manage time effectively.

    · Flexible, spontaneous, and able to deal with the unexpected.

    Work Environment: Must be able to tolerate heat in the summer and cold in the winter.

    Physical Demands: While performing the duties of this job, the employee is regularly required to stand and walk. The employee is occasionally required to sit, climb/balance, stoop, kneel, or crouch. Must be able to reach, handle, carry, and lift between 10 lbs. and up to 50 lbs. While performing job duties, the employee is regularly required to talk, hear, read, and identify numbers for accurate order filling and receiving of material.

    Education and Eligibility Requirements:

    · One (1) years’ experience.

    · Knowledge and ability-English and grammar.

    · Pleasant telephone voice/manner.

    · Ability to operate simple office equipment sufficiently to perform the job.

    · Typing skills (preferably 45-55 wpm) with 95 – 100% accuracy.

    · Must have proven customer support experience.

    · Must know 10-key by touch.

    Warehouse Team member Qualifications

    • Valid driver’s license with clean MVR and clean background check
    • High School Diploma minimum
    • Problem solving skills to solve process problems.
    • Physically able to perform labor intensive tasks every day (Continuous lifting of 40-50 lb. boxes)
    • Good eye/hand coordination and good motor skills
    • Work well under time constraints and productivity requirements.
    • Willing to follow established procedures yet be creative to offer suggestions for improvements.
    • Willing to perform tasks at significant heights (12-14 ft.)
    • Ability to use handheld computer, electric pickers, drive van and bob truck.
    • Flexibility to accept different work hours and assignments.
    • Willingness to work overtime.
    • Strong customer service background
    • Detail oriented work style
    • Must be dependable, reliable, and mature enough to handle equipment safely and sensibly.
