Medical Records Coding Manager supervises and trains a team of medical coders to ensure medical records are coded with accuracy and completeness. Ensures medical records coding operations follow the latest guidelines and compliance standards. Being a Medical Records Coding Manager maintains required documentation and confidentiality of patient records. Implements processes for coding operations that support the needs of other healthcare partners. Additionally, Medical Records Coding Manager develops and maintains up-to-date knowledge of the latest ICD and CPT coding versions and ensures coders receive updates and training on classification or guideline changes. Is a certified medical coder and the exact type of coding certification may vary based on the clinical setting or a medical specialty focus. Typically requires a bachelor's degree in healthcare administration, a related field, or equivalent. Depending on the setting typically requires the Certified Coding Specialist (CCS) certification. May additionally have the Registered Health Information Administrator (RHIA) credential. Typically reports to a manager or head of a unit/department. The Medical Records Coding Manager supervises a group of primarily para-professional level staffs. May also be a level above a supervisor within high volume administrative/production environments. Makes day-to-day decisions within or for a group/small department. Has some authority for personnel actions. Position Summary: This Position is a key member of the facility management team with a number of duties designed to facilitate smooth operational effectiveness throughout the facility on a day to day basis. The incumbent also acts as resident and family advocate and liaison assuring a high level of customer satisfaction and thus enhancing the reputation of the facility. Job Description
· Ordering Supplies:
· Ordering department supplies as needed in conjunction with department heads
· Assures departments maintain an adequate stock of supplies to support patient care.
· Assures storerooms are kept in a clean and orderly condition at all times and are maintained in compliance with IDPH regulations.
· Assists department heads with adherence to their monthly budget.
· Assists department heads in resolving issues identified on monthly responsibility summaries.
· Assists department heads in evaluating alternative products available and assures that items ordered are of acceptable quality and cost.
· Physician Credentialing:
· Maintains files for all physicians, assuring that each contains current documentation of licenses, insurance, etc.
· Prepares and submits appropriate documentation to Senior Services physician credentialing committee.
· Monitors physician compliance with patient visits, H&Ps, orders signed and other documentation required by IDPH for ICF unit.
· Medical Records:
· Assures closed medical records for ICF patients are complete, filed and stored in compliance with IDPH regulations.
· Assures us that the medical record room is maintained in a clean and orderly condition in compliance with regulations.
· Regularly audits active resident charts for documentation completion and assures that charts are maintained in orderly fashion, ready for review by internal auditor and IDPH surveyors.
· Confers with internal auditors to ensure nursing staff are maintaining standards required by the Senior Services Division and that current forms are being used and used properly.
· Report all charting issues identified to the Director of Nursing and follows up to assure that the nursing department remains in compliance with standards and regulations.
· Receptionist Staff:
· Hires, fires discipline, evaluates, and schedules receptionist staff assuring that there is appropriate coverage of reception desk, 12 hours each day.
· Trains receptionist staff regarding required duties
· Assures receptionist staff maintains the highest level of customer service skills. Follows up on any complaints received assuring service recovery and maintenance of customer satisfaction.
· Confers with other department heads on task receptionists can do while on duty to assure their time is used efficiently.
Quality Assurance:
· Acts as facility quality assurance officer.
· Leads facility quality assurance team.
· Schedules and facilitates quarterly quality assurance meetings
· Assures that each department’s assigned quality measure(s) are quantitative, appropriate and monitored in an accurate and timely manner.
· Reviews each department’s quality assurance report assuring they are completed accurately and in a timely manner.
· Reviews results of quality measures identifying any evidence of quality issues or lack of improvement. Works with department head(s) to identify causes of identified issue(s) and develops a plan of correction.
· Follows up to assure effectiveness of corrective plan.
Residents Liaison:
· Interfaces with residents casually throughout the facility as well as formerly at mealtimes, activities, parties and special events as appropriate.
· Acts as resident and family advocate, fielding, evaluating and following up on resident and family issues to assure satisfaction with facility services.
· Reports resident issues to department heads and/or Executive Director as appropriate for discussion and resolution of issues.
· Acts as member of weekly clinical meeting team to discuss resident issues, changes in condition, level of care, admission/discharge issues, etc.
