Job Summary:
Serves as the front office contact person and receptionist; assists with clerical and business office needs including bookkeeping and accounts payable; responsible for answering phone and greeting visitors; must communicate courteously and respectfully with clients, vendors, employees, and others; responsible for basic bookkeeping (i.e. posting invoices or cash deposits, drafting intercompany billing, printing/collating financials and related support) and other basic clerical tasks.
Requirements / Qualifications:
Minimum high school diploma or equivalency; previous experience in secretarial or bookkeeping position; must have excellent email and telephone communication skills; must be able to multi-task with minimal supervision; must have basic skills with Microsoft Office suite tools and file management; must pass drug screens and have a satisfactory criminal history background check.
Preferred Qualifications/ Experience:
Previous experience in bookkeeping and/or accounting (i.e. accounts payable, treasury/cash management, financial reporting, or other); previous experience with GP Dynamics (ERP system) or similar system; previous experience in healthcare and long-term care industries or similar.
Duties and Responsibilities:
* Answers the telephone courteously; routes phone calls and forwards messages
* Acknowledges and greets clients, vendors, and employees in a professional, friendly, courteous manner
* Performs filing and a variety of clerical duties
* Receives and distributes mail and processes outgoing mail; visits the post office if requested
* Assists with managing office supplies inventory; assists with ordering as directed by management; restocks supplies as required.
* Drafts and/or updates spreadsheets, letters, & emails using Microsoft Office tools (Excel, Word, Outlook) independently as needed and requested
* Assists with bookkeeping tasks related to accounts payable (processing invoices and payments) or other accounting areas
* Assists with monthly, quarterly, and annual bookkeeping tasks related to financial reporting (posting basic journal entries, preparing financials by printing, collating, and organizing financials and related support)
* Runs company-related errands as requested and needed
* Maintains strict confidentiality of personnel matters, personal health information (PHI), and other proprietary information
