  • Purpose of Position
    The purpose of this position is to perform front line customer service, and a variety of administrative and circulation support duties.

    Essential Duties and Responsibilities
    The following duties are normal for this position. These are not to be construed as exclusive or all-inclusive. Other duties may be required and assigned.

    Customer Service
    Processes outgoing library materials; checks materials out to patrons; informs patrons of dates due; monitors theft detection security gates; resolves security alarms; keeps accurate statistics of patron service.

    Creates patron accounts in library automation system; issues library cards; pays off fines; updates records; informs patrons on account status; enforces special rules or limitations as indicated by management.

    Monitors usage of self-check machines; shows patrons how to use for checkout or bill paying; fills receipt paper; trouble shoots issues.

    Provides Curbside Service: collects and checks out holds, delivers to waiting patrons outside; assists walk-in patrons withhold retrieval; keeps accurate statistics of transactions.

    Answers telephone to resolve circulation-related problems; telephones patrons regarding missing contents, lost materials, lost & found items, etc.

    Helps customers with public use copier; adds paper when needed; calls repair person as necessary.
    Accepts and gives receipts for donated materials.

    Cash Handling
    Collects money and enters into automation system for accurate accounting; includes bills on patron records for fines, fees, collection agency, lost materials, etc.

    Sells Friends of the Library merchandise; sells snacks and beverages; monitors the ongoing book sale cart; processes payments for purchases in POS system.

    Verifies accurate start-up money in drawers prior to opening; secures cash drawers at closing.

    Data Entry
    Processes library cards; updates address changes; resolves returned mail problems; checks addresses against municipal and county records; codes for correct municipality; files.

    Materials Handling
    Processes incoming library materials; empties book drops; sorts library materials; checks in library materials on computer; organizes materials on carts to be shelved; sorts to/from delivery boxes; shelves materials; processes lost and damaged materials.

    Processes reserves list; searches for library materials; routes to correct library or reserves shelves; searches for missing items and claims returned.

    Materials Handling
    Processes incoming library materials, which includes emptying book drops or delivery boxes, check in on computer, sorting, and organizing items onto carts to be shelved.

    Shelves materials and processes lost or damaged materials.

    Processes daily holds list by searching for materials and routing to correct library or hold shelf.

    Searches for missing or claims returned items.

    Additional Tasks and Responsibilities
    While the following tasks are necessary for the work of the unit, they are not an essential part of the purpose of this position and may also be performed by other unit members.

    Assists ill or injured patrons; dispenses first aid supplies; calls 911.

    Monitors and reports behavior in violation of library policies or the law.

    Straightens and arranges materials and furniture.

    Helps set up/take down chairs, tables, etc., for library programming.

    Monitors activity in lobby and front area of 1st floor.

    Maintains cleanliness and order in lobby and circulation area.

    Education and Experience
    High School diploma.
    Two years of continuing education.
    Three years of administrative or customer service experience. Proficient computer skills.

    Knowledge Skills and Abilities
    Ability to sort and arrange library materials in alphabetical and numerical order.

    Ability to advise and provide interpretation to others on how to apply policies, procedures, and standards.

    Ability to learn and use computer programs, apps, social media platforms, and specialized library software.

    Proficient skills in oral and written communication.

    Knowledge of basic mathematics.

    Ability to exercise rational judgment, decisiveness, and creativity required in a variety of situations.

    Ability to operate a variety of office and library specific equipment.

    Skills in maintaining accurate database records.

    Ability to work autonomously and as part of a team.

    Ability to portray a friendly, tactful, courteous, and positive attitude.

    Ability to remain calm and continue to work during busy times.

    Supervisory Controls

    The Circulation Services Manager mentors, coaches, and assigns work in terms of general instruction. Most tasks performed are self-directed after the initial training period is completed.
    Ongoing projects that fall within the scope of the position's duties as assigned by the Circulation Services Manager.

    Guidelines
    Adhere to Library Board policies, city employee handbook, Wisconsin State Statute chapter 34, Winnefox Library System and WALS policies and procedures. Policies and procedures are open for interpretation and require the ability to interpret and apply them in various situations.

    Comply with established standards of work.

    Adheres to safety practices and procedures. Maintain records in compliance with records retention policies.

    Personal Contacts & Purpose
    Contacts are library and city employees, patrons, community members, organizations, volunteers, performers and presenters, media, vendors, and other libraries' staff.

    Contacts are typically to give or exchange information, to resolve problems, to collaborate on projects, and to provide services.

    Ability to perform moderately physical work, which involves walking, bending, twisting, turning, sitting, reaching, climbing, balancing, kneeling, crouching, and long periods of standing.

    Ability to lift and carry 50 pounds; ability to push and pull objects weighing 300-400 pounds on wheels; ability to move materials at levels from the floor up to 90" high.

    Ability to have close visual acuity, hearing, and speech to perform job duties.

    Ability to ride a bicycle up to five miles one way, if assigned to Bibliocycle site visits.
