Warranty Coordinator, Full Time
Salary Range: $21.55/HR to $28.55/HR DOE - On Site

The Warranty Coordinator serves as the liaison between the company and the manufacturers, ensuring adherence to proper warranty procedures. They perform moderately complex tasks, analytical assignments, interpret and translate rate and repair information to the manufacturer’s warranty system, generate reports for analysis, and provide communication on warranty and/or business system issues.
Job Duties:
- Processes all warranty claims, ensuring timeliness, proper documentation, and a high level of accuracy.
- Escalates all high-dollar warranty claims to Product Support management, including the Director of Product Support, for support.
- Ensures all warranty procedures or guidelines provided by the manufacturer are followed.
- Ensures 100% compliance with all manufacturers recalls and service campaigns/product support bulletins (PSBs) within a reasonable amount of time of being notified in order to meet deadlines.
- Researches and reviews all manufacturer product bulletins and recalls, taking appropriate action as needed to ensure compliance.
- Communicates and collaborates with branches and staff as needed, ensuring follow-up on all warranty processes and claims.
- Utilizes technical skillset when processing claims to achieve maximum recovery of total dollars from manufacturer.
- Identifies unique warranty cases, which may result in obtaining special arrangements with the manufacturer to receive reimbursement for repairing manufacturer defects.
- Analyzes and appeals denied claims and claims exceeding the allotted timeframe by the manufacturer, performing root cause analyses; makes recommendations for improvement and drives solutions.
- Provides summary reports of all claims processed, documenting variances between number of dollars on the job and what was recovered; creates ad hoc reports as requested by management.
- Identifies and troubleshoots warranty processing issues, providing recommendations for resolution, and escalating as needed.
- Utilizes internal software programs to generate analytical reports; ensures report accuracy and provides summaries for service department staff.
- Partners with team members and managers to identify and implement business improvements to achieve ongoing operational efficiencies.
- Participates in Product Support meetings and other department meetings as requested.
- Meets internal warranty goals and maintains standards as directed by management.
- Assists with the development and maintenance of process documentation, including training and developing the technical and analytical skills of less experienced team members.
- Provides technical communication support for all branches during down times/slow periods.
- Is reliable and punctual in reporting for work as scheduled.
- Maintains professionalism on the job at all times.
- Performs other duties of a similar nature as required.
Qualifications:
- High School Diploma or equivalent. Vocational or technical certification preferred.
- Two or more years of experience in a service-related field.
- Proficiency in Microsoft Office Suite.
- Ability to work independently and to effectively prioritize demands and execute tasks.
- Keen attention to detail.
- Ability to build relationships with manufacturer representatives.
- Ability to interpret and communicate technical information.
- Strong written and verbal communication skills with the ability to convey information to internal and external customers in a clear and concise manner.
- Strong project management and organizational skills.
