Logistics Manager manages all aspects of an organization's logistics management function to control, deliver, and distribute products and materials to the destination. Implements an overall strategy, metrics, and processes to deploy an optimized logistic network and operations. Being a Logistics Manager oversees critical and related inventory, distribution, and transportation operations that support the achievement of organizational goals and KPI's for product delivery and customer satisfaction. Selects vendors and negotiates rates and service levels and monitors performance. Additionally, Logistics Manager ensures compliance with all regulations governing transportation of goods. Utilizes analytics to monitor and measure performance, identify problems in operations, and achieve high performance at optimal cost. Requires a bachelor's degree. Typically reports to a director. The Logistics Manager manages subordinate staff in the day-to-day performance of their jobs. True first level manager. Ensures that project/department milestones/goals are met and adhering to approved budgets. Has full authority for personnel actions. To be a Logistics Manager typically requires 5 years experience in the related area as an individual contributor. 1 - 3 years supervisory experience may be required.     Job Summary

    The Logistics Manager serves as the primary point of contact for all student inquiries relating to events, film shoots, and production permits. This position will be responsible for all logistics, policies, and procedures as it relates to event planning, training and management of student organizations and their leaders. The position will work directly with central support departments, as well as faculty program directors when applicable, and it may also work with third party caterers and the City of Virginia Beach. Essential duties will include:

    • Plan and finalize event applications with the student organization event planner and the Office of Student Engagement or Law Records; send final approval to event planner and supporting departments.
    • Reserve space for low scale student events in classrooms, building lobbies, or Ordinary spaces while coordinating  reservations for other spaces with Admin Services, Student Housing, Law Records, or the COM Equipment Office.
    • Assign action steps or forms to the student event planner for low to medium scale events and advise and assist in executing high scale events.
    • Develop and maintain event training tools and provide training for student leaders.
    • Analyze and process monthly chargeback reports for the Facilities/Housekeeping set-up forms.
    • Manage University wholesale club cards, including maintaining an adequate balance for monthly cash cards for university purchases and evaluating receipts for purchases, reconciling statements, and forwarding  documentation to Accounts Payable.
    • Review, process, and approve Production Permit forms for student film shoots for on-campus locations and collaborate with COM staff/faculty, RUPD, and scheduling offices as needed. For off-campus locations, obtain insurance certificates for student film shoots. 
    • Process requests for student, staff, and faculty keys while maintaining key holder records and soliciting student key returns at the end of the academic year.
    • Coordinate with the HR department to process exit interviews/checklists for exiting employees by collecting keys and purchasing cards.
    • Provide after-hours building access to students and set building door hours for special student events. Assist with faculty and staff after-hours building access and holiday access adjustments as needed.
    • Facilitate entire transportation plans and resources as it relates to shuttles, golf carts, radios, and workers with other Administrative Services and Purchasing Department staff.
    • Act as a website manager for the Administrative Services/Purchasing website.
    • Assist the Purchasing Director with seasonal preparations, purchasing, and campus decorating for Christmas.

    Qualifications:

    • Bachelor’s degree in a business-related field required
    • A minimum of 3 years' experience in event logistics coordinating and planning required 
    • Ability to type a minimum of 40 wpm required
    • Strong editing/grammar skills required
    • Must have a working knowledge of databases and Microsoft Suite
