    High-Level Job Description:

    The Program Manager will provide operational oversight of vocational programs including employment, day and/or community integration services for individuals with developmental disabilities. Under the direct supervision of the Assistant Vocational Director, the Program Manager will be responsible for assisting in the management of all aspects of the Day Program, including staff program support, training, and administrative duties. Duties include monitoring the overall daily operations of the vocational program, providing supervision and training to Direct Support Professionals, overseeing documentation, assisting with scheduling, participating in meetings, IP’s and biannual, writing reports, and ensuring compliance with company and Department of Developmental Disabilities (DDS) policies and procedures. Strong software skills, including Word, Excel, and SharePoint, are required. The Program Manager should have similar experience working in a vocational program and previous experience managing and training staff, scheduling, facilitating meetings and writing reports. The Program Manager should have excellent communication skills, leadership qualities, and have the ability to coach and teach others.

    Job Responsibilities:

    Day to Day Operations and Program Support:

    • Monitor daily operations of the vocational program.
    • Have a strong understanding of Day Supported Employment, Group Supported Employment, Individual Day, and all other identified vocational type of work to better implement a successful plan for the individual
    • Monitor appropriateness of programs in meeting the vocational, emotional, social, medical, clinical, and physical needs of everyone.
    • Schedule assignments of Direct Support Professionals to ensure daily ratio compliance.
    • Assist in creating flexible operation procedures to facilitate the economical and effective use of time and resources.
    • Collaborate with staff members to plan or develop programs of events, schedules of activities, or menus.
    • Collaborate with Clinicians, nurses, Directors, and case managers to develop a successful work environment.
    • Meet with managers or other administrators to stay informed of changes affecting operations.
    • Understand, follow, and enforce all policies and procedures.
    • Maintain schedule and ensure all deadlines are met.
    • Edit schedule on Paycom to reflect daily schedule.
    • Complete performance discussion on Paycom as needed.
    • Review GER completed by staff on Therap.
    • Obtain all necessary documentations when submitting a GER/ 255 on Therap.
    • Ensure 255 reports are submitted promptly.
    • Provide proper notifications when completing GER on Therap.
    • Ensure individuals medical protocols are up to date.
    • Attend Individual Plan and Biannual meetings.
    • Write quarterly, semi and annual reports on individual progress while attending program.
    • Oversee the Floor Coordinators and ensure their success.
    • Ensure the program daily schedule is followed.

     

    Training:

    • Participate in personnel processes and assist the vocational department in orienting and training and developing new Direct Support Professionals as directed.
    • Provide training to staff and individuals in all activities, jobs and job checklists.
    • Assesses employee job performance, conducts staff meetings, and provides supervision and training to vocational staff.
    • Train Direct Support Professionals in proper operational procedures and explain company policies.
    • Complete in-house orientation for incoming DSPs.

    Administrative:

    • Understand and assist with scheduling, attendance, and Paycom as directed.
    • Ensure completion of documentation and duties of Direct Support Professionals.
    • File all documentation according to established procedures.
    • Attend and participate in individual plans, meetings, trainings, and in-services.
    • Assist with writing and preparing quarterly reports for individual meetings.
    • Ensure compliance with policies established by the agency and Department of Developmental Disabilities.
    • Maintain an overall management style that follows the company mission statement and core values.
    • Complete yearly and six months staff appraisals on Paycom.
    • Participate in DDS audits.
    • Lead staff quarterly in-services.

     

     

    Other:

    • Develop a strong understanding of the workings of each department and team in the company.
    • Attend mandatory trainings and administrative meetings with internal agency and with external agencies.
    • Maintain required ICES Inc. trainings and certifications. 
    • Administration on-call rotation for the vocational program.
    • Perform special projects/assignments as needed.
    • Participate in on call rotation along with other team members.
    • Work direct care when needed to meet the program needs.
    • Obtain customized employment certification.
