Licensing and Permit Program Associate

  • Introduction


    The Department of Health Services, Division of Quality Assurance (DQA), is recruiting for a Licensing and Permit Program Associate (LPPA) in the Bureau of Assisted Living (BAL). DQA is responsible for protecting and promoting the health, safety, and welfare of residents living in care and treatment facilities and/or receiving mental health and substance use services.

    This position will typically work Monday-Friday with daytime hours. This position also has the ability to work remotely up to 4 days per week but will be required to report to the Southeastern Regional Office of BAL once a week to complete certain tasks.

    Position Summary


    As the LPPA, you will provide administrative and program support services for the BAL in the Southeastern Regional Office. You will be responsible for:

    • tasks involving the licensure program for the Assisted Living facilities such as changes of ownership, renewals and licensure amendments.
    • conducting quality assurance reviews on all Assisted Living program review studies.
    • monitoring receipt of required license fees.
    • monitoring licensing status and processing licensing letter of transmittal and license certificate.
    • evaluating all survey data to ensure the accuracy of recommendations for facility licensure.
    • ensuring that appropriate fees are paid by the entity and reconciling and verifying monthly statements for the Bureau of Fiscal Services.
    • developing, monitoring and accurate report processing of the Adult Program Information System (APIS).

    Salary Information


    The starting salary is $21.23 per hour, plus excellent benefits. A 12-month probationary period is required.

    Pay for current or former state employees is set based upon the rules that apply to compensation for the applicable transaction. This position is classified as a License/Permit Program Associate and in pay schedule and range 02/11.

    Job Details


    All applicants who may be appointed to this position will be required to allow DHS to conduct a background check to determine whether the circumstances of any conviction may be related to the job being filled.

    For positions that do allow remote working flexibility, although residency in the State of WI is not required for permanent positions, it is not anticipated that working outside of WI or bordering cities will be allowed as positions may at times need to report to office locations in WI on short notice.

    DHS does not sponsor work visas for this position, thus, in compliance with federal law, selected candidates will be required to verify eligibility to work in the United States by completing the required I-9 form upon hire.

    Employees must have access to both a private workspace and secure high-speed internet for remote work option. Mileage reimbursement to the employee’s headquarter location is not provided. Remote work flexibility will be discussed in more detail during the interview process.

    Qualifications


    Minimally qualified applicants will have all of the following:

    • Experience providing administrative support in a professional environment performing tasks such as scheduling meetings, updating procedures, maintaining files, tracking payments and fees, etc.
    • Experience entering data into computer programs and data systems (e.g., Microsoft Excel, Access, etc.).
    • Experience providing customer service to internal and external stakeholders (e.g., responding to inquiries, explaining policies and procedures, resolving issues, etc.).

    Well-qualified applicants will also have one or more of the following:

    • Experience reviewing application materials for licensing and certification to ensure accuracy and completeness.
    • Experience interpreting and applying rules and regulations related to assisted living facilities.
    • Experience proof-reading documents and providing feedback to others.
