Under direct supervision, is responsible for processing official legal documents and fees; researches, indexes and issues Marriage License, Informal Marriage Licenses, and Assumed Business Names; performs data entry; prepares documents for indexing; monitoring scanning software and database; answers questions; collect processing fees; balances daily receipts and monies; makes certified copies; provides daily administrative and clerical support; and performs related duties as assigned.
- Locates, researches, issues, and records legal documents for the general public, outside organizations and various government agencies
- Responsible for the acknowledgement process of the assumed business names and administering the affirmation of the marriage license and informal marriage license application
- Works with the Texas Department of State Health Services Vital Statistics by sending all marriage and informal marriage applications for timely filing and reporting
- Verify completion of pre-marital education class to apply statute based discount on marriage license
- Ability to understand and apply Texas Family Code and Texas Business and Commerce Code to ensure compliance to all relevant statutes pertaining to the marriage application and an Assumed Name filing
- Verify and enter dates of marriage recordation to ensure accurate public information
- Provide customer assistance with information related to the entrepreneurship process as it relates to the Secretary of State, City of San Antonio, State Comptroller Office, Internal Revenue Service and SMWBE
- Responsible for scheduling appointments and maintaining the PickTime online appointment calendar for the Marriage License, Assumed Business Names and Vital Statistics departments
- Provide customer service to individuals through the Live Chat system
- Performs data entry of various transactions and documents including, but not limited to, payments, fees, marriage licenses and assumed business names
- Assists public and answers questions, in person and by telephone, regarding procedures involved in processing legal documents
- Calculates and collects various filing, recording and document processing fees, balances daily monetary transactions, and is responsible for processing deposits
- Verifies accuracy, resolves discrepancies and prepares documents for processing, recording and/or filing
- Provides administrative and clerical support such as processing section mail, making copies, typing documents, answering telephones and taking messages
- Involved in Cross-training with all sections within the Recordings Division
- Performs related duties as required
- Graduation from High School or General Education Development (GED) certificate, and two (2) years general office, document processing, bookkeeping or cash handling experience as part of work involving service to the general public; or an equivalent combination of education and experience
- Knowledge of general office procedures; knowledge of the Vanguard System; knowledge of basic Microsoft Outlook, Excel and Word software applications
- Skill to type 40 wpm with no more than 7 errors; Typing tests may be administered by Department, Human Resources or Workforce Solutions Alamo Career Centers)
- Skill in performing basic mathematical calculations; skill in making change in cash transactions
- Ability to understand and apply various State Codes; ability to maintain document records and filing systems; ability to perform repetitive work with a minimal amount of supervision; ability to operate mainframe terminal, typewriter, microfilm/microfiche reader, image terminal, 10-key adding machine and basic office equipment; ability to establish and maintain effective working relationships with co-workers, other County employees, outside organizations, other government agencies and the general public
- Acts in the name of the County Clerk and shall perform all official acts as may be lawfully done and performed by such Clerk in person, pursuant to Section 82.005(c) of the Texas Local Government Code
- Must secure and maintain a favorable background investigation and clearance
- Must clear a pre-employment physical and a pre-employment drug screen test
- May be required to work more than 40 hours during the workweek
