POSITION PURPOSE AND EXAMPLES OF WORK:
To provide centralized filing, copy, facsimile, mail, scanning and other immediate general office duties.
MAJOR TASK STATEMENTS & REPRESENTATIVE ACTIVITIES (Percentage of time):

35% - Search, retrieve, and return case files in a central records area.
- Search, retrieve, and return case files, manually and dependent upon service area.
· Maintain strict control of the whereabouts of files.
· File and retrieve requested files from warehouse or storage area.
· Perform light to moderate lifting tasks related to carrying files.
35% - Sort and file legal documents in proper order in case file; access computer to determine identification of proper file.
- Sort filing alphabetically, numerically, and/or by other predetermined categories and file inappropriate files.
· Utilize computer to access numbers of other pertinent information related to cases.
· Open, data stamp, and distribute mail and reports to staff.
20% - Copy and fax documents for staff and various others.
- Copy files, reports, and other documents for court staff, social service agencies, attorneys, and various others.
· Maintain copy log, and perform data entry into data base system.
· Operate facsimile machine.
10% - Perform other clerical duties relating to operation of the assigned unit.
- Answer telephones and determine and provide pertinent information to authorized personnel and/or direct caller to appropriate party.
· May act as receptionist, and mail all certified, registered, and regular mail.
· May work at counter or front desk and assist attorneys, court staff, clients, dependent upon service area assigned.
· Provide attorneys with case information during trial.
· Maintain confidentiality of all files and records, and destroy files when required.
· Attend training as required.
· Perform related work as required to include but not limited to serve on teams/committees as assigned, cross-train for other jobs as assigned, and work on special projects as assigned.
SUPERVISION OF: None.
SUPERVISION BY: Assigned supervisor or manager of unit provides general supervision.
SERVICE RESPONSIBILITY:
INTERNAL: All levels of Court staff.
EXTERNAL: General public.
PRIMARY EQUIPMENT, TOOLS & MATERIALS USED: Computer, copier/printer/scanner/fax, telephone, desk scanner, and Judiciary operating rules or handbooks. Working with a fork-lift, pallet jack fork, and climbing on tall ladders.
MINIMUM EDUCATION AND EXPERIENCE:
(Equivalent combination of relevant education and experience may be substituted on a year for year basis provided a high school diploma or GED has been obtained)
SPECIAL REQUIREMENTS:
- Must submit to and pass criminal background check as prescribed by Courts.
· Must submit to and pass sex offender registry check, and MO/KS child abuse and neglect checks.
· Employees in this position are subject to random and reasonable suspicion testing for illegal drug use.
