Lease Administrator prepares leases/subleases and other related documents. Maintains and updates the lease activities in a database. Being a Lease Administrator maintains relationship with the landlords and occupants. Ensures accuracy of documents and financial records. Additionally, Lease Administrator requires a bachelor's degree. Typically reports to a manager or head of a unit/department. The Lease Administrator gains exposure to some of the complex tasks within the job function. Occasionally directed in several aspects of the work. Our Lease Administration supports a diverse set of company needs from basic management of lease abstractions and critical dates to full financial management of landlord invoices and reconciliation audits. We provide comprehensive knowledge and access to data across the portfolio that enables our company to make strategic real estate decisions that support and enhance their core business.
Duties and Responsibilities:
Lease Administration:
ADMINISTRATIVE / ANALYSIS
. Abstracting, interpreting, and drafting commercial lease documents (leases, amendments, subleases)
. Rent variance analysis and rent payment processing
. Data entry, validation and management of leases, reviewing annual landlord reconciliation statements and real estate tax calculations
. Reviewing CAM and other escalations & real estate tax invoice documents
. Maintain accurate lease data in lease database on an ongoing basis to reflect real time data
. Process paperwork and coordinate new vendor (landlord) set up as needed
. Process landlord address changes/vendor changes in lease database
. Scan and save all documents to the lease database and Microsoft SharePoint
COMPLIANCE
. Reviewing annual landlord reconciliation statements and real estate tax calculations to ensure accuracy and lease compliance
. Rent variance analysis and rent payment processing to ensure accuracy and lease compliance
. Tracking and maintaining critical lease dates
RELATIONSHIP MANAGEMENT
. Resolution of rent and other landlord/tenant issues
. Client/vendor/landlord relationship management
. Work with operations to ensure maintenance items that are the Landlord's responsibility are taken care of in a timely manner
