Job Description The Office of Laboratory Protection (LP) is an organization focused on providing a secure, safe, and resilient NREL community. LP supports more than 3,500 staff located at four sites and the associated infrastructure. LP is comprised of a team of highly skilled managers and technical subject matter experts dedicated to personnel security, physical security, access control, information security, foreign national access management, emergency management, and protective force operations. This position will report to the Director of Laboratory Protection assisting in operational and administrative tasks to ensure the smooth and efficient operation of the department. This role requires strict confidentiality, exceptional organizational skills, proficiency in project management, the ability to prioritize multiple demands, and excellent interpersonal skills. The LP Business Support Specialist creates, maintains, and distributes a range of correspondence, reports, documentation, and processes with minimum supervision and oversight. This position has frequent interaction with internal and external collaborators, business partners, and colleagues. Responsibilities include: Serve as a resource to staff on institutional processes, procedures, and requirements. Provide input and recommendations on organization-specific administrative practices. Manage calendars and schedule meetings. Participate in meetings and prepare meeting minutes. Independently respond to and appropriately route requests. Ability to work collaboratively in a team environment and provide support to colleagues as needed. Monitor and oversee departmental deliverables to ensure timely completion, including annual obligations to DOE per the contract, corrective action items, PEMP requirements, etc. Prepare and maintain electronic files, as needed. Oversee and maintain the department’s schedule in Humanity, including recording unscheduled call-offs. Serve as the space coordinator for the department. Maintain training records for department, including working closely with the LP Training Coordinator to ensure training metrics and reporting are up to date. Support in the procurement, upkeep, and inventory management of LP equipment and uniforms, including maintaining the organization of supply and equipment storage areas. Prepare, review, and maintain LP presentations, documents, reports, and communications, as requested. Facilitate and support the onboarding process for new Laboratory Protection staff, encompassing Emergency Management, Protective Force officers, and Safeguards and Security personnel. Foster a culture based on safety, respect, accountability, and professionalism that promotes teamwork within LP and provides confidence and peace of mind to stakeholders and the DOE customer. Please note: This role is a hybrid role requiring the applicant to be onsite four days per week. . Basic Qualifications High School Diploma or equivalent and 7 or more years of experience or equivalent relevant education/experience. Or, relevant Associate's Degree or certification program of comparable scope and 5 or more years of experience or equivalent relevant education/experience. Extensive knowledge in specialized focused business support functions. A comprehensive understanding of both general and specific aspects of business support activities, and their practical application to a wide variety of problems and situations specific to the discipline or field supported. Advanced skills in applicable software packages and office equipment. Considerable project administration and business services skills. Broad knowledge of specific principles, procedures and practices related to supported fields and disciplines. Excellent written and verbal communication skills, team and interpersonal skills. * Must meet educational requirements prior to employment start date. Additional Required Qualifications HSPD-12 Position of Public Trust Must be able to obtain and maintain an HSPD-12 Public Trust credential for a position as required by Homeland Security Presidential Directive 12, which includes a favorable background investigation of the appropriate tier.
