Summary
Customer Service interacts with internal and external customers; providing support, data and pertinent information, to ensure production runs efficiently.
Responsibilities
- Analyze, Validate, Reconcile and Submit Data
- Pulling and comparing records from Company software and 3rd party software using Excel and Word - VELES, SAP, ITMS, GPMS, GPQMS, etc.
- Sorting data into necessary reports as requested
- Analyze data to determine the next step in meeting objective goal
- Verifying the validity of data and updating as needed
- Increase efficiency and productivity of reporting methods
- Analyze and identify data patterns to filter problematic areas of data and reporting methods
- Sending and receiving data as requested
- Communicating VIN activity clearly and concisely via verbal communication and email transmission
- Properly escalate critical information to department manager
- Administrative Support
- Anticipating the needs of internal/external customers
- Answering phones, replying to email in a timely fashion
- Ensure all inquiries have been completed by the department in a timely manner
- Ensure department manager is up to date with all relevant information
- Engage in face-to-face meetings with customers for the provision of one-to-one service
- Assist Carriers in locating units, repair requests, expediting shipments for customers, and any other issue that may prevent units from shipping
- Work Order Completion/Print/Reprint/Validation
- Monroney Print/Reprint/Sort/Validation
- Proactively investigating issues and responding accordingly
- Day-to-day operation of all programs and equipment, including scanners/tablets/printers
- Coordinating Production Activities Led By Operations
- Anticipating the needs of Operations
- Creating, printing and distribution of necessary/requested reports
- Generating new reports to aid Operations in meeting organizational goals
- VIN lists (various configurations)
- Allocation/Decommit Report (VINS ready for production)
- Issuing requests to labor provider to meet objective goals
- Offsite Truck Shuttling (VINS located off the main property)
- Purification of stock transfers received from other Port’s
- Receiving dealer returned units into inventory
- Requesting entry inspections on all returns and transfers
- Advising carriers of transportation damage liability for returns and transfers
- Composing Standard Work Instruction Sheets
- Analyze existing processes for improvement
- Determine structure of standard operation procedure
- Prepare scope of process for department/individual relevancy
- Use consistent style and start steps with action commands
- Be concise
- Collaboratively work out all necessary steps of the process
- Records tasks step by step
- Include sub-tasks when necessary
- Include visual overflows and visual aids
- Access potential problems in the process
- Ramp Operation at Navy Yard
- Retrieve railcar numbers with corresponding A-end and B-end seals
- Enter railcar numbers into TADS system according to railcar location on each track and pad
- Assign location to all VIN's on each rail car and print bay tickets
- Investigate problematic VIN's, damages, and the relocation of VIN's from their assigned location to sickbay area and/or Southport VPC
- Park VIN's for carrier availability and clear track sheet in TADS
- Submit a minimum of 10 reports daily to Glovis HQ and NS Corp
- Perform physical inventory and system reconciliation in TADS weeky and monthly
- Provide daily pull list to Conrail for clearing of empty railcars on each track
- Other duties as assigned
Qualifications
Skills
- Proficient PC skills - Word, Excel, PowerPoint, Outlook, and database management systems
- Ability to read, comprehend and interpret documents such as operating and maintenance instructions, and procedure manuals is required
- Ability to write routine reports and correspondence is required
- Ability to communicate effectively before groups of customers or employees of organization is required
Education & Experience
- High School Diploma/GED
- 3 years required OR equivalent combination of education and experience in Customer Service or Microsoft Office preferred
- 2 years preferred OR equivalent combination of education and experience in IVeles, ITMS, SAP, or Excel
