Being an Instructor - Accounting provides tutoring and academic counseling to students, maintains classes related records, and assesses student coursework. Collaborates and supports colleagues regarding research interests and co-curricular activities. Additionally, Instructor - Accounting typically reports to a department head. SUMMARY: The Accounts Receivable/Payable is responsible for managing outgoing and incoming payments to/from vendors and customers.
ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned to meet business needs.
• Reconciling the morning deposits, including submitting 8300 forms when needed
• Posting invoices, purchase orders, and making sure that all purchase orders are brought up to the office timely with the corresponding invoice. Making sure that all invoices are being posted to the proper expense account and allocated correctly to the proper departments. Double checking the dates of the invoice to make sure they are being inputted into the correct month.
• Managing and disputing credit card chargebacks/disputes
• Receipting in checks to the proper accounts and cutting payable checks to our vendors ensuring that the schedule is clearing
• Ensuring that we have received all of our invoices from our vendors monthly to make sure that we are not skipping months on payment.
• Updating vendor contacts and W-9s
• Maintaining aged units on the receivable accounts and maintaining the payable accounts to make sure nothing is past due
• Balancing and reconciling the American Express and the Toyota Statement
• Balancing and maintaining the petty cash fund and making trips to the bank when need be
• Submitting, maintaining, posting, and reconciling chargebacks.
• Ensuring that all of the receivables and payables are being organized and properly filed
• Submitting 1099 Forms at the beginning of the year
• Performs other tasks as required by management

Education and/or Experience: High school diploma/GED and 2 years related experience. May be able to work up to the position from an internal position.
Knowledge / Technical Skills: Duties require analytical and mathematical skills, logic aptitude, computer knowledge, professional verbal and written communication skills; Proficiency in Microsoft Office (Word, Excel); Able to work overtime when necessary; Understanding of principles and practices of the organization, planning, records management and general administration. Dependability, adaptability and confidentiality are necessary attributes.
Skilled in operating standard office equipment, including but not limited to, computers, telephone systems, and other office automation systems.
Customer Service Skills: Politeness, confidence, tact, patience and diplomacy while dealing with complex and confidential situations. Excellent communication skills and the ability to deal effectively across all levels of the business organization are necessary. Problem solving skills; Ability to maintain a professional and courteous relationship with all members. Meet deadlines and execute high level of project management and independent decision-making skills.
